Reactive Supervisor

Equans is looking for a Reactive Supervisor to join our team at Midland Metropolitan University Hospital (MMUH) in Smethwick on a permanent basis. This is a full-time role working 40 hours per week, based on a shift pattern that consists of working evenings and weekends. There is also an on-call rota. What will you deliver?

  • Daily monitoring of completion of reactive tasks and chasing Engineers
  • Assist in the ongoing management of the Maximo CAFM system ensuring it is up to date and correct at all times
  • Support chase through and completion of outstanding jobs, ensuring notes are up to date and first responses are met
  • Assist in the upkeep of O&M Manuals & addition of assets/PPM to the CAFM system following completion of project works onsite
  • Ensuring compliance of all works documentation
  • Ensuring LOP’s are in place, reviewed annually. Both electronic/hard copies are maintained
  • Monitoring reactive jobs and highlighting any that fall over the maintenance cap onsite
  • Assist the collation of information facilitate Damage claims with the client
  • Support the Contract Services Manager by producing monthly deduction and service reports, weekly failure updates, utilisation reports and any other reports as required
  • Monitor performance of contract on weekly basis to identify trends and minimise failures by providing advice, feedback and updates to the team in the promotion of best commercial practice in relation to payment mechanism deductions and SFPs
  • Lead the outstanding works sessions (where required) with the Technical Service Managers & ensure all workflow is chased & completed within contractual timescales
  • Contribute to company & contract plan by meeting own performance objectives and supporting others in achieving theirs
  • Assist in Service Audits on a Monthly basis, as per agreed schedule
  • Provide cover for the helpdesk & admin team, during absence
  • Managing weekly, bi-weekly, quarterly, bi-annual and annual reporting data in agreed trackers against all site KPI’s to feed into month end reporting
  • Recording Trust Works jobs undertaken on site and ensuring that, outside of those hours included in the contract, additional works undertaken by the site team are captured and recharged accordingly
  • Interface with Senior Managers and Directors within EQUANs and the Trust, attend and represent EQUANs at meetings as required

Control of Works Manager

Equans is looking for a Control of Works Manager to join our team in Oxford on a permanent basis. This is a full-time role working 40 hours per week. On offer is a salary of £54,000, dependent upon skills and experience, and benefits package.

The post holder will be responsible for the delivery of HSSE Arrangements for Control of Works, including the management, implementation and ongoing support of the quality, health safety and management systems. To manage reactive and planned maintenance. To manage minor works projects reactive and PPMs.

We are looking for an individual with previous Facilities Management experience, a Mechanical or Electrical bias and strong Stakeholder Management skills.

What will you deliver?

  • Review of task Risk Assessments, Method Statements, competencies and task programmes to ensure appropriate controls and Safe Systems of Work are in place for all tasks conducted by contractors and non-routine tasks/ projects carried out by resident teams
  • Supervise the Grounds, Fabric and M&E engineering team
  • Deliver Control of Works Health & Safety inductions for all non-resident contractors carrying out works
  • Conduct Assurance checks and site inspections of active work to ensure compliance with agreed Safe Systems of Work and existing controls are effective
  • Administration of the UWL estate Permit to Work, Site Work Authorisation and LOTO procedures
  • Maintain high visibility of the Control of Work processes and activities through engaging verbal and written communications relevant to the process and operational impacts
  • Ensure incidents are recorded and investigated through the Equans and client web-based system and that hazards are captured through the HSSE local reporting system and ensure effective closure of actions
  • Monthly reporting of Control of Works KPIs and safety statistics
  • Conduct assurance checks on tasks in progress to evaluate contractor compliance with approved Safe Systems of Work
  • Support operations managers, Authorised Persons for Permits to Work and service providers with training and toolbox talks relevant to the Control of Works arrangements
  • Participation in the Duty Manager rota. Inclusion to call out rota to assist constant high-level service to client required
  • Establish and maintain strong relationships with key stakeholders in the FM and client’s organisations
  • Ensure that the appropriate record keeping processes are maintained to demonstrate compliance with contract deliverables and company procedures
  • Ensure all COSHH, Risk assessment for site are reviewed and current
  • The overall management of any small works, which may be as a result of remedial actions from PPM’s/reactives or as separately instructed by the Client
  • To liaise with the client and sub-contractors and on-site team and attending meetings when required
  • To fulfil Health & Safety responsibilities by adherence to the requirements of the Company's Health & Safety Policy, Health & Safety Management Plans and safe site
  • To comply with the Company’s Policies, Management Plans and Procedures
  • To undertake such other duties appropriate to the level and character of work as may reasonably be required within the Department / Service

Lifecycle Programme Manager

Equans is looking for a Lifecycle Programme Manager to join our team in London on a permanent basis. This is a full-time role working 37.5 hours per week. On offer is a salary of up to £60,000, dependent upon skills and experience, company vehicle or allowance, bonus and benefits package.

The post holder will be responsible for the management and delivery of the Lifecycle replacement programme for the London School PFI portfolio of c15 schools. Ensuring the overall lifecycle planning and delivery of capital works, service variation and lifecycle projects as part of the London Schools management team, to manage site H&S, CDM, site management, snagging and hangover of every project, as required.

The team will typically be delivering 25+ projects at any one time ranging from £1k to £1M+, comprising small works, minor maintenance projects to larger and more complex lifecycle and capital works. Projects are run to tight and pre-determined timescales within the constraints of the PFI contract and should be delivered to ensure a favourable financial return.

We are looking for a driven individual to add expertise and dimension to the London Schools management team. The individual will be able to demonstrate flexibility and efficiency in responding to a changing workload and business imperatives while able to establish excellent working relationships within the existing team and clients alike. Experience within a contractual, KPI-driven environment and exposure to a PFI environment a pre-requisite.

What will you deliver?

  • Manage works implementation to ensure projects are delivered safely; on time; on budget and are to a high standard from inception to final account stage
  • Prepare and review 5 year and annual maintenance plans in conjunction with lifecycle team, prioritising projects based on budgets, condition surveys, and coordination with Equans operational team and client key stakeholders
  • Ensure the project pipeline is managed in accordance with all contractual KPI requirements, while complying with Equans internal governance processes
  • Make sure project risks are identified and managed through effective mitigation measures
  • Monitor and communicate project financial performance and administration for all assigned projects
  • Oversee the co-ordination of operatives, sub-contractors and suppliers in a planned and controlled manner ensuring efficiency and minimising costs
  • Assist the commercial team in the initial contract negotiation process; project costs and delivery timescales; identifying possible conflict and problem solving as required
  • Act as a point of contact, managing relationships with all stakeholders, consultants and service providers, with emphasis on client satisfaction and business excellence
  • Implement and comply with Equans policies and procedures, all legal requirements and best practice within Equans including regular safety inspections within the allocated business area
  • Completion and / or review of risk assessments for on-site work activities
  • Produce progress and other reports, as requested, to a high standard
  • Requirement to work within and around the needs of a school environment (as appropriate)

Who are we looking for?

  • Experience operating in the public and / or private FM sector with a demonstrable track record of directly managing capital works within a large and complex estate is essential, preferably within a PFI environment
  • Self-starter, able to work on own initiative as a conscientious team player
  • Organised communicator with strong inter-personal skills
  • High level of verbal, written and numeric skills
  • Computer-literate (MS Office based Products: Excel, Word, Project & PowerPoint) with a sound knowledge of CAFM/estates and project management systems

  • A sound knowledge of building and engineering services design and associated British Standards

PFI Expiry Manager

Equans is looking for a PFI Expiry Manager to join our team in London on a permanent basis. This is a full-time role working 37.5 hours per week. On offer is a salary of up to £60,000, dependent upon skills and experience, company vehicle or allowance, bonus and benefits package.

The PFI Expiry Manager – London Schools is responsible for managing the strategic and practical approach to PFI expiry across Equans London Schools portfolio of c15 PFI schools/contracts, leading on the transition and hand-back process, ensuring compliance with PFI contractual requirements and mitigating any contractual or operational risks in line with the hand-back timetable.

The role will form a pivotal part of the Equans London Schools management team and will also be the main conduit between the London School Management Team, senior colleagues from the central Equans Commercial, Technical and PFI Expiry Teams, and the appropriate Client representatives such as Special Purpose Vehicle, Local Authority, or Schools.

The post-holder will be instrumental in creating, developing and leading the PFI Expiry and Hand-back strategy, processes and procedures; engaging with key stakeholders and the wider business proactively in advance of the commencement of hand-back activities to actively manage delivery of the strategy on a portfolio basis and drive the hand-back timetable and requirements.

They will be responsible for the carrying out of risk reviews of Equans London School PFI contracts in advance of the expiry date, and in line with Equans hand-back strategy, to establish the baseline for the project plan and identifying any risks and opportunities relating to the specific contractual hand-back requirements.

The post-holder will also be responsible for the development and delivery of individual hand-back project plans in line with the relevant hand-back timetable, embedding themselves within the PFI contract teams during the hand-back transition phase to ensure that hand-back projects are delivered in line with contractual requirements and that any risks are mitigated.

They will be an effective leader and develop relationships both internally and externally with Client hand-back representatives ensuring that pro-active communication is maintained continuously throughout the hand-back process.

They will be responsible for the management and development of the Hand-back Documentation Coordinator, providing guidance and direction on documentation strategy to align with the overall hand-back strategy.

What will you deliver?

  • Creation and development of the hand-back strategy across a portfolio of approximately 15 PFI contracts in order to mitigate significant risk exposure worth multiple millions
  • Primary responsibility for management of Equans London Schools PFI hand-back timetable in line with the hand-back strategy and providing continuous development and improvement through implementation of lessons learned
  • Lead the specific hand-back projects and management of hand-back works activities worth tens of millions (and potentially significantly more), collaborating with Operational teams to ensure that the hand-back projects are delivered successfully in order to mitigate Equans’ risk exposure
  • Development of standardised hand-back processes, procedures, documentation and templates
  • Undertake contractual hand-back risk reviews and gap analysis in line with the relevant PFI hand-back timetable and the hand-back strategy. Responsible for mitigation of significant hand-back risk through strategic management and commercial negotiation
  • Subject matter expert within Equans for hand-back issues and proactively communicate with Operational teams on hand-back strategy
  • Act as the designated client contact in relation to hand-back related matters, develop effective customer relationships and provide point of escalation for hand-back activities with other PFI stakeholders including public sector partners, project Co, departments agencies and public bodies
  • Accountability for internal progress and risk reporting on hand-back activities at strategic portfolio and project level
  • Specific responsibility for delegated activities during hand-back transition including:
    • Managing and developing risk registers for specific projects
    • Ensuring the delivery of required data / documentation including Statutory compliance, asset registers, Building files, CAFM, TUPE, Supply Chain and Warranty information in agreed format via the PFI Expiry documentation Co-ordinator and site teams
    • Reviewing hand-back Surveys undertaken by project Co and or Authorities to ensure accurate allocation of remediation works and contractual liability between lifecycle, maintenance or other appropriate budget streams
    • Engaging with relevant experts and wider business to determine workstream of works
    • Lead PFI expiry contact for the client and customer
    • Lead and represent Equans in external meetings with client and customer
    • Responsibility of resolving commercial and escalation discussions
    • Conduit between the BAU and hand-back teams (internal and external)
    • Support the scoping of additional roles and revision of target operating model for the hand-back period
    • Line management responsibility – documentation coordination role
    • Finance – forecasting expenditure and income for the hand-back works and feedback to account director/finance business partner, determining the financial risk for commercial/escalated items

    • Co-ordinating all variation and defect information to establish any risks or opportunities during hand-back process
    • Oversight of the collation of Equans’ plant and equipment, asset registers and supporting development of exit logistics arrangements

  • Thorough understanding of the structure and complexities of PFI projects including 8+ years working within a PFI environment
  • 5 years+ experience in an Operations Manager, Account Director, Project Manager or Commercial Manager role

M&E Operations Manager

Equans is looking for an M&E Operations Manager to join our team at Barnet Hospital on a permanent basis. This is a full-time role working 40 hours per week. On offer is a competitive salary and benefits package.

 

The post holder will be responsible for the Operational service performance of the site engineering, Fabric and Grounds team, ensuring the high level of service delivery required by the business and in accordance with the contract specification (PA) and all company procedures. Lifecycle Project Manager

Equans is looking for a Lifecycle Project Manager to join our team in Birmingham on a fixed term contract for 24 months. This is a full-time role working 37.5 hours per week. On offer is a competitive salary, company vehicle or allowance, bonus and benefits package.

 

This role is fundamental to the delivery of all projects and lifecycle works on behalf of Equans and the Client. Meeting the Clients needs and ensuring works are delivered within budget and on time is paramount and the post holder needs to reflect this in the day-day operations. As part of the Project Management team you will take full accountability for the delivery of Variations and Life Cycle projects across the PFI site. As part of this you will be expected to take manage the P&L and H&S for your projects from concept to completion with the support from the Lead PM and Head of Projects. Your role will be fundamental to the efficient delivery of projects to both the SPV and Trust who you will build relationships with as part of your role. You will be expected to work well with the remainder of the team and support the wider Operational team to support the business in its Contractual delivery.

We are looking for a driven individual to add expertise and dimension to the team at the Hospital. The individual will be able to demonstrate flexibility and efficiency in responding to a changing workload and business imperatives while able to establish excellent working relationships within the existing team and clients alike. Experience within a contractual, KPI-driven environment and exposure to a hospital PFI environment a pre-requisite.

The ideal candidate will have an M&E or construction background and previous experience of end to end project management, being responsible for development through to completion.

What will you deliver?

  • Full Profit & Loss responsibility for your delivered projects & life cycle works
  • Build and sustain strong relationship with relevant stakeholders (Trust / SPV) at management level to ensure the continuation and growth of the pipeline for the foreseeable future

Defects Project Manager

Service Manager - Hard FM

Equans is looking for a Service Manager - Hard FM to join our team in Brighton on a permanent basis. This is a full-time role working 40 hours per week. On offer is a competitive salary and benefits package.

The post holder will manage a team of 2, and responsible for the cost-effective management of all subcontracted planned and reactive maintenance labour across M&E and Building Fabric disciplines. Responsible for site compliance reporting systems, collation of information, management of specialist service providers, asset database, Insurance registers and scheduling of planned preventative maintenance in conjunction with and the support of the Operational site management team. To liaise with the client team as required, attending meetings and delegating as required.

What will you deliver?

  • Responsibility for site management team, engineering team and of all sub-contracted labour resource in the delivery of Reactive maintenance request
  • Use of and administration CAFM (Maximo) system, Labour Management Systems, Building Management Systems, Planned Preventative Management Systems and Stock Control Systems and other databases to ensure the efficient utilisation of staff and resources and that financial targets are met/exceeded
  • Management of the site insurance register inspection schedules undertaken by sub[1]contracted labour force, ensuring all operational pressure systems plant and lifting equipment has asscociated written schemes of inspections assigned and maintenance schedules are programmed into the site Maximo System, and hard copy folders where applicable
  • Review existing PPM’s and if required, devise new PPM regimes for site assets to ensure optimum operational availability and life cycle
  • Collating documents for populating details for LCF planner and equipment replacement, assisted by site project manager and admin support.
  • Management of operational revenue budgets to maintain agreed expenditure levels and report on any discrepancies
  • Provide labour management, reactive and planned maintenance reports and identify where sub-contract resources need to be adjusted to meet operational requirements

Who are we looking for?

  • ONC/HND in Engineering discipline (or Equivalent)
  • Preferably previous experience in management of Mechanical Services
  • Good customer care and flexible approach to working practices, with the ability to develop strong credible internal and external relationships

This role includes a DBS Basic check therefore ability to pass is essential.
