PPM Coordinator

EQUANS is looking for a PPM Coordinator to join our team based in Worthing on a permanent basis. This is a full time role working 40 hours per week. On offer is a competitive salary and benefits package. 

 

As a PPM Co-ordinator, you will work closely with all Contract Teams and contractors to ensure all PPMs are assigned to the appropriate resource and managed through to conclusion in a timely manner in accordance with the contractual requirements and key deliverables. Ensures that appropriate H&S460 documentation is in place before PPM is confirmed with FPM’s. Must be focused on customer care with a “can do” attitude, with the flexibility and adaptability to be a team member in a changing business environment.

What will you deliver? 

  • Check/Chase/Close Weekly PPM’s – Engineers comments to RM’s for information/action (Monday/Wednesday & Friday weekly).
  • Check/Chase/Close Monthly PPM’s – Engineers comments to RM’s for information/action (Tuesday/Thursday weekly).
  • Check current month PPM’s are assigned (weekly during month as PPM’s are scheduled for different durations and drop into Planon during the month).
  • Sub Contractor Visit Reports – review, close Planon, file on SharePoint & action any further action require (email to RM’s etc.).
  • HS460 Processing for PPM’s (send to RM’s, note on Planon, complete HS460 Log & chasing for completion).
  • Request Sub-Contractors weekly schedules & compile spreadsheet to be sent to Client on a weekly basis (Friday).
  • Assign internal engineers weekly PPM’s (Friday afternoon).
  • Actions from Client Monthly Report from Data Scientist (chasing for completions, amending Planon completions etc.).
  • Sub Contractor key requests (liaising with Southern Water Key Coordinator).
  • Allocate next months PPM’s (c.3500 individual PPM’s) & assign PPM’s on last day of month.
  • Compliance Tracker – weekly review to check outstanding visit reports have been received.
  • Assign next month Sub Contractor PPM’s – send out reports to Sub Contractors with expected visits and requests dates for attendance.
  • Raises CAFM change requests.
  • Purchase Order/Invoice processing.
  • Change Control emails to RM’s.
  • Annually – request renewal quotations/send for review by Service Line Managers/raise PO’s/Update schedules/Raise Planon adjustments.
  • Sub Contractor meetings where necessary.

Jeopardy Supervisor

EQUANS is looking for a Jeopardy Supervisor to join our team based in Rotherham on a permanent basis. This is a full time role working 40 hours per week. On offer is a competitive salary and benefits package. 

 

We are recruiting a new post for a Jeopardy Supervisor reporting to the Workflow Manager based at the Rotherham Office. The candidate will be responsible for supporting the Rotherham, Barnsley & Bassetlaw PFI Schools contracts working to minimise the risk of financial deductions associated with SLA failures and or Unavailability. You will proactively monitor the open work orders on the helpdesk to ensure compliance with the SLAs and KPIs outlined in our commercial contracts. You will collate and analyse the data highlighting risk and improvement opportunities and work in collaboration with the workflow team to ensure that work orders are being managed proactively to mitigate the future risk of deductions. This shall include identifying and prioritising higher value deductions / work orders where multipliers or ratchets are being applied to penalties. Identifying and recording in Maximo mitigating factors relating to work orders and identifying to the workflow team where relief or extension of time requests can be applied.

You will support and contribute to producing monthly pay-mech reports in readiness for submission within monthly reporting packs including co-ordinating responses to mitigations within the pay-mech reports. The candidate will also provide learning outputs from pay-mech deductions which shall be utilised for training purposes for the workflow, operational and site-based teams. 

What will you deliver? 

  • Act as focal point for jeopardy management processes across all helpdesk work order requests, acting as the interface between the workflow, operational, commercial, site teams and service partners to ensure that the deduction risk to EQUANS is minimised. 
  • Support the mapping of bespoke Jeopardy Management processes including agreeing demarcation of responsibility between Workflow, Operational and site teams. Support the training and roll out of new processes to the respective teams. 
  • Proactively review Maximo and Power BI dashboards to identify work orders that are at risk or breaching SLA. Proactively communicate risk, suggested remedies and co-ordinate responses between workflow, site based, sub-contractors and operational teams to minimise future deductions.
  • Liaising with sub-contractors and in house operatives to confirm attendance details for all works raised and ensure appropriate reports are received and work orders closed with accurate date/times. Supporting workflow teams by updating Maximo Job Notes directly. 
  • Reviewing breached helpdesk work orders, support workflow team in facilitating completion of work orders, potential mitigation or extension of time requests or other appropriate relief events to minimise risk.
  • Identifying and prioritising higher value deductions / work orders where multipliers or ratchets are being applied to penalties to ensure that the correct levels of escalation and focus are applied to minimise deductions. 
  • Produce analytical data reports on helpdesk work order performance in month, including regular updates / forecast on potential future Pay-mech deductions. 
  • Produce routine reports/presentations/statistical data for the management team to assist with the effective management of the contract.
  • Qualitive reviews, maintenance and management of CAFM system data inputting, ensuring accurate recording, population, and distribution of work orders is being carried out.
  • Hold regular meetings/calls and training with relevant internal and external teams to feedback on learnings from the previous Pay-Mech deductions to ensure a consistent and expected level of service delivery is being achieved.
  • Produce analysis on Sub-contractor performance and the impact of individual suppliers on deductions including supporting the recovery of pass-through deductions with the supply chain. 
  • Provide cover / support for workflow supervisor and workflow teams for absence and sick. 
  • Review and understanding of commercial contracts within the context of the pay-mech calculations, scope of works, contractual relief, mitigation and extension of time events.  
  • Leading on monthly Pay-mech reports including producing and co-ordinating Mitigation responses. 
  • Attendance at monthly Pay-mech meetings and liaison with SPV and Authority representatives in relation to Pay-Mech responses. 
  • Working in collaboration with colleagues from commercial, finance and procurement to produce information or reports as appropriate.

Facilities Administrator

We have an exciting opportunity for a Facilities Administrator to join our facilities team working on our Greater Manchester Police maintenance contract based at Eccles police station providing administrative support to various police stations across Greater Manchester. This is a permanent full-time position working 40 hours per week, Monday to Friday from 8am to 5pm.

The role:

  • Reporting to the Business Performance Manager
  • To provide effective and efficient administrative compliance support for the contract
  • Identify client requirements through telephone, CAFM Helpdesk system, and e-mail communications.
  • Raise and manage to completion PPM and reactive work orders in the CAFM System to deliver KPIs.
  • Produce quotations, chase approvals and arrange for work to be carried out via raising purchase orders to subcontractors and arranging for access to the Site.
  • To prepare reports and documents as required and maintain confidentiality at all times
  • To work along site the management team to provide support as required on the contract

The person:

  • Experience in a similar role providing effective administration support
  • Knowledge of Maximo database or similar CAFM system an advantage
  • Excellent communication skills, both oral and written
  • Able to work as both part of a team and autonomously
  • Must have good IT skills (able to use Microsoft Office and management systems)
  • Experience of production and maintenance of reporting
  • Well organised and able to prioritise workload
  • Ability to multi-task in a busy work environment

Social Impact Bid Manager

Equans is looking for a Social Impact Bid Manager to join the team in London on a permanent basis. This is a full-time role working 40 hours per week. On offer is a competitive salary and benefits package.

The role involves working with the bid team and all involved stakeholders to develop commitments that will support the bid proposition in line with the cost model. The Social Impact Bid Manager will be responsible for speaking to external companies, partners, and other 3rd party organizations that can support the bid offering, develop social impact plans for bids, attending storyboarding workshops with clients and bid teams, write bid responses around social impact.

What will you deliver?

  • Working with the bid team and all involved stakeholders to develop commitments that will support the bid proposition in line with the cost model
  • Speaking to external companies, partners, and other 3rd party organisations that can support the bid offering
  • Attending storyboarding workshops, reviewing written documentation, and attending review meetings as required by the bid team
  • Being the main contact for the bid team and Head of Social Impact on all bids
  • Using the Social Value Model, TOMs Framework, PPN06/20, and all other social value legislation/requirements in developing the offering in bids
  • Carrying out research to ensure full understanding of social value challenges, opportunities, and policies relating to the opportunity
  • Attending internal and external bid meetings, including presenting on social value and any site visits
  • Having regular meetings with the bid team to share information and ensure the social value bid pipeline is kept up to date
  • Keeping up to date with external trends and upcoming changes in legislation
  • Utilising the Community Insight Tool and carrying out research on communities that are focused on in the bid proposition
  • Identifying contract deliverables and KPIs
  • Reviewing bids to identify the social value resource required to deliver mobilization and contract
  • Working with the mobilisation team, utilising the bid tender documentation, to create the social value section of the mobilisation plan
  • Keeping up to date with case studies and best practice across Equans that will support bid deliverables
  • Ensuring social impact work is undertaken to internal/external standards and guidelines
  • Leading by example in following and actively promoting the company's Fundamentals, IMPACT Manifesto, values, and objectives

Compliance Coordinator

EQUANS is looking for a Compliance Coordinator to join our team based in Stoke-on-Trent on a temporary basis (11 months FTC). This is a full time role working 40 hours per week. On offer is a salary of £23,800 - £24,500, dependant upon skills and experience as well as benefits package.

The Regional Operations Centre (ROC) in Stoke provides helpdesk and business support services to a wide range of facilities management contracts. The Compliance Co-ordinator is expected to deliver excellent administration skill, including email and admin. You will respond to, plan and organise the full life cycle of planned maintenance works through to job completion, utilising the CAFM system (Maximo). This will include planning and dispatching of Planned Maintenance works to a number of engineers, sub-contractors and site managers across various locations, ensuring all are completed within contractually defined SLA’s and providing administrative support where appropriate.  You will work closely with the team, but be expected to demonstrate the ability to work on your own initiative.

The ROC is a key service in ensuring the effective delivery of facilities management services to a wide range of contracts within the education, healthcare, public and leisure sectors. As first point of contact for all FM requirements, the Support Centre has to deliver high quality, responsive, flexible and effective services at all times.

What will you deliver? 

  • Provide a friendly and professional point of contact for the Operations Team and Sub Contractors for any queries or concerns.
  • Interpret and log data, inputting details into an in-house system, providing and tracking of work on a regular basis understanding of the status of the work and ensure SLA’s are met.
  • Liaise with wider team members to ensure the best resolution, consistent with the contract.
  • Completing all administration tasks that relate to the contact, including assigning contract colleagues and sub-contractors to work orders, purchasing and finance tasks.
  • Liaise with relevant Contract staff and subcontractors in relation to all aspects of service requests and that rensure required information is returned in a timely manner. Respond to queries, amend data and re-issue tasks as required.
  • Carry out monitoring of CAFM (Maximo) data to ensure that Helpdesk work orders have been accurately created, assigned, prioritised and categorised in line with contractual KPI's and SLA's.
  • Support the planned maintenance programme by scheduling activities for engineers, sub-contractors and site managers.
  • Comply with company procedures to ensure that all risks relating to safety, health, environment and quality are effectively managed through the use of risk assessments, PPE, training and company procedures to ensure a safe working environment.

You will provide an efficient and professional administration service to the business covering the Operational and P&D sections. What will you deliver? 

  • Support the Planning Manager by producing daily updates and weekly reports as required
  • Preparation and completion of invoicing for all work streams

General Operative

EQUANS is looking for a General Operative to join our team based at the DWP in Kidderminster on a permanent basis. This is a full time role working 37.5 hours per week. On offer is a salary of £22,522 per annum and benefits package. 

 

Reporting to the Team Manager, you will provide a high quality level service according to contractual service level requirements.

What will you deliver? 

  • Correctly and efficiently recording information relating to specified mail items utilising a number of different valuable recording systems.
  • Identifying suspected fraudulent items utilising technology provided and processing as per requirements for each unique business unit.
  • Producing banking documentation as per each unique business unit.
  • Identify items for repatriation as per each unique set of business unit rules.
  • Preparation and secure despatch of manifests and originals as per each unique business unit requirements.
  • Reconciliation of banking and manifest documentation.
  • Ensure mail trays are logged onto system at point of receipt and tray ID’s generated.
  • Ensure mail flows through to high speed opening, x-ray or scanning prep areas smoothly and efficiently as per the production plan.
  • Effectively and efficiently sort the mail by utilising the technology on the sort desks.
  • Ensure no cross contamination of envelopes occurs at any stage of the mail handling process.
  • Accurately preparing mail into batches for scanning.
  • Ensure sort desk is cleared down prior to commencing opening of another sites mail within set time and that all polylopes are sealed prior to the mail leaving the desk.
  • Scan documentation using a number of different high and mid volume production scanners utilising the correct scanner for the business unit and type of batch required to be scanned.
  • Ensure that rescan requests are processed within SLA.
  • Ensure any good housekeeping tasks are undertaken on the scanners or within the scanning room at the start and end of each shift.
  • Undertake any archiving tasks as required.
  • Report any areas of concern to the Team Leader.
  • Attend regular staff briefings to include general communications, Health and Safety, training.
  • Undertake any other duties and ad hoc tasks that may reasonably be expected by the Team Leader.
