EQUANS are recruiting for an Administrator to be based in Belfast. This is a permanent full-time role working 40 hours per week. On offer is a salary of £23,500 and benefits package.

General Overview

Administrator to work across our Building Maintenance Contract, successfully building and maintaining relationships to ensure smooth delivery and completion of works.

This role involves participation in an OOH Rota, usually one Saturday every six - eight weeks as well as one 12pm-8pm shift a week.

  • Manage telephone and email enquires both internal and from the public.
  • Provide a professional level of customer service, telephone support for customer enquiries while always maintaining an efficient and pleasant manner.
  • Meet deadlines, ensure tenants, management and client are kept up to date.
  • Scheduling appointments, ensuring diaries are kept up to date
  • Provide support to the wider response maintenance team

Facilities Administrator

Equans is a renowned energies & services contractor and a proud member of the Bouygues global industrial group. Our expertise spans the design, construction, and maintenance of buildings and critical infrastructure worldwide.

We have an exciting opportunity for a Facilities Administrator to join our facilities team working on our Greater Manchester Police maintenance contract based at Eccles police station providing administrative support to various police stations across Greater Manchester. This is a permanent full-time position working 40 hours per week, Monday to Friday from 8am to 5pm.

The role:

  • Reporting to the Business Performance Manager
  • To provide effective and efficient administrative compliance support for the contract
  • Identify client requirements through telephone, CAFM Helpdesk system, and e-mail communications.
  • Raise and manage to completion PPM and reactive work orders in the CAFM System to deliver KPIs.
  • Produce quotations, chase approvals and arrange for work to be carried out via raising purchase orders to subcontractors and arranging for access to the Site.
  • To prepare reports and documents as required and maintain confidentiality at all times
  • To work along site the management team to provide support as required on the contract

The person:

  • Experience in a similar role providing effective administration support
  • Knowledge of Maximo database or similar CAFM system an advantage
  • Excellent communication skills, both oral and written
  • Able to work as both part of a team and autonomously
  • Must have good IT skills (able to use Microsoft Office and management systems)
  • Experience of production and maintenance of reporting
  • Well organised and able to prioritise workload
  • Ability to multi-task in a busy work environment

HR Administrator

EQUANS is looking for a HR Administrator to join our team based at Quorum Business Park, Newcastle on a permanent basis. This is a full time role working 37.5 hours per week. On offer is a salary of £23,400 - £25,000 per annum, dependant upon skills and experience as well as benefits package. 

 

As a HR Administrator, you will be responsible for all administration relating to onboarding new starters, employee contractual amendments, leaver processes for Equans UKBU. This role will engage with employees, line managers and HR Operational leads to ensure a quality and timely service delivery.

As a member of our Shared Services team, you will have the ability to work flexibly from our brand-new office space at the Quorum Business Park for 2 days each week, with 3 days at home. What will you deliver? 

  • Responsible for the preparation, distribution and HR & Payroll system updates for new employee contracts, contractual amends and leaver processes
  • Manage workload in line with Payroll Deadlines, internal Service Level Agreements and Key Performance Indicators
  • Initiate pre-employment checks for any employees working in roles that require particular security vetting or other client specific checks 
  • Work directly with Hiring Managers and HR Operations to clarify their Onboarding, Employee Changes and Leaver requirements
  • Request specific system configurations with the technical support team for new employee work patterns where they do not currently exist, test once built, and load to the live system
  • Have a thorough understanding of Terms and Conditions with the ability to recognise and update related Contracts and Systems, whilst also considering the impact on exernal processes
  • Calculate salary, allowance and deduction payments and record in the payroll system
  • Appreciation of National Minimum Wage legislation and the impact on employees pay during the processing of contracts and system updates, advising Hiring Managers as appropriate
  • Check gross pay on payslips to confirm that any changes have processed as expected
  • Issue reference requests for new starters
  • Review any returned documentation and ensure it reaches the correct recipient, e.g. Fleet, Pensions, Benefits
  • Track activities where required to allow Team Leaders insight to support process improvements
  • Liaise with employees for the return of contractual documentation, bank details, and other new starter documentation to ensure they are include to the relevant months payroll
  • Set up and maintain employee personal files
  • Co-ordinate audit activity for own work area, with timely monthly sign off
  • Support the Team Leader in data collection and analysis across the team, e.g. volumes of starters.

Assistant Sustainability Compliance Officer

Equans is looking for an Assistant Sustainability Compliance Officer to join our team in Coleshill, Birmingham, on a permanent basis. This is a full-time role to support the Regional Sustainability Team in adhering to PAS2030 installer accreditation standards on our funded retrofit schemes. In collaboration with the Compliance Officer, this role will be responsible for collating, validating and preparing PAS 2030:2019 compliance paperwork to Clients, Energy Suppliers and Accreditation Bodies on a weekly basis, operating within contractual deadlines to ensure compliance

  • Supporting the production of all necessary paperwork associated with installation of Energy Efficiency measure in line with PAS 2030:2019 process

  • Maintain a wide knowledge and understanding of the sustainability sector and pass this expertise onto the wider team

  • To ensure that there are zero compliance failures resulting from poor and inaccurate submission information

Accounts Payable Team Lead

Network Engineer

Equans is looking for a Network Engineer to join our team in London on a permanent basis. This is a full-time role working 37.5 hours per week. On offer is a salary banding of £40,000-£50,000, dependent upon skills and experience, bonus and benefits package.

 

The Network Team in Central IT is a section of the Infrastructure & Operations Team responsible for supporting and maintaining the network across the UK EQUANS estate.  It is additionally responsible for the delivery of network project design and implementation working alongside the Cloud Engineering Team. The team is responsible for the network to approximately 250 office sites that vary in size from a few people to a large corporate office which hold several hundred staff.

What will you deliver?

  • Responsible for ensuring successful delivery of network projects in line with agreed architecture, budget and timescales – include design and implementation
  • Responsible for the security of network infrastructure and ensuring it is aligned with internal audit and EQUANS group audit (INCOME) guidelines
  • Effectively monitor the network and communications infrastructures and responds proactively to any issues
  • Accountable for maintaining performance and availability of LAN/WAN and Telecoms infrastructures across the UK BU including:
  • Design, configuration and implementation of a wide variety of network infrastructure technologies including switches, routers and firewalls and SD-WAN endpoints
  • Troubleshooting of LAN/WAN environments
  • Design, configuration and administration of core network constructs in AWS
  • Day to day network performance monitoring and checks
  • Responsible for ticket and collaboration with other Support Teams to coordinate incident management and ensure appropriate involvement for any critical tickets
  • Ensure an excellent relationship with IT Change Management to ensure the correct approval and visibility of the team’s scheduled and unscheduled activities
  • Ensure an excellent relationship with Service Transition to ensure an ever-changing scope is captured within the toolsets and team’s activities
  • Creation and updating of network documentation
  • Accountable and responsible for LAN/WAN/Telecoms developments and projects and their successful delivery
  • Continuous improvement and promotion of services, in order to meet relevant Service Level Agreements
  • Good background knowledge of networking technologies (including Ethernet and TCP/IP)
  • Meets all Service Level requirements for the provision of network and communications services

  • Experience of IP telephony troubleshooting
  • Awareness of AGILE project management methodologies
  • Awareness of ITIL best practice framework
  • Desirable experience of design and configuration of cloud network technologies

PPM Coordinator

EQUANS is looking for a PPM Coordinator to join our team based in Worthing on a permanent basis. This is a full time role working 40 hours per week. On offer is a competitive salary and benefits package. 

 

As a PPM Co-ordinator, you will work closely with all Contract Teams and contractors to ensure all PPMs are assigned to the appropriate resource and managed through to conclusion in a timely manner in accordance with the contractual requirements and key deliverables. Ensures that appropriate H&S460 documentation is in place before PPM is confirmed with FPM’s. Must be focused on customer care with a “can do” attitude, with the flexibility and adaptability to be a team member in a changing business environment.

What will you deliver? 

  • Check/Chase/Close Weekly PPM’s – Engineers comments to RM’s for information/action (Monday/Wednesday & Friday weekly).
  • Check/Chase/Close Monthly PPM’s – Engineers comments to RM’s for information/action (Tuesday/Thursday weekly).
  • Check current month PPM’s are assigned (weekly during month as PPM’s are scheduled for different durations and drop into Planon during the month).
  • Sub Contractor Visit Reports – review, close Planon, file on SharePoint & action any further action require (email to RM’s etc.).
  • HS460 Processing for PPM’s (send to RM’s, note on Planon, complete HS460 Log & chasing for completion).
  • Request Sub-Contractors weekly schedules & compile spreadsheet to be sent to Client on a weekly basis (Friday).
  • Assign internal engineers weekly PPM’s (Friday afternoon).
  • Actions from Client Monthly Report from Data Scientist (chasing for completions, amending Planon completions etc.).
  • Sub Contractor key requests (liaising with Southern Water Key Coordinator).
  • Allocate next months PPM’s (c.3500 individual PPM’s) & assign PPM’s on last day of month.
  • Compliance Tracker – weekly review to check outstanding visit reports have been received.
  • Assign next month Sub Contractor PPM’s – send out reports to Sub Contractors with expected visits and requests dates for attendance.
  • Raises CAFM change requests.
  • Purchase Order/Invoice processing.
  • Change Control emails to RM’s.
  • Annually – request renewal quotations/send for review by Service Line Managers/raise PO’s/Update schedules/Raise Planon adjustments.
  • Sub Contractor meetings where necessary.

Reception Supervisor

We currently have an exciting opportunity for a Reception Supervisor to join our Facilities Management team at our client’s high security site in Gravesend.  This is a permanent full-time role working 40 hours per week, from Monday to Friday, 8am to 5pm.

The role:

  • To supervise and work as part of the front of house team ensuring that all core duties / positions are covered and staffing levels are in line with contractual obligations and service requirements
  • To provide reception cover in accordance with the contract
  • To provide a high level of day to day customer service to the reception desk including issuing of visitor passes and permissions for access to the building
  • To take the lead on customer service training for Reception ensuring provision of a highly professional service for all visitors, maintaining records and observing strict security procedures
  • Handle building users enquiries both over the phone and in person
  • To arrange and administer the provision of classroom/accommodation bookings ensuring that all requirements are captured
  • To lead, manage and motivate direct reports through the effective use of goal setting, team briefings, appraisals, performance/attendance management, development and succession planning to support individuals and teams in fulfilling their potential and maximizing productivity
  • To prepare weekly/monthly management reports
  • Working 40 hours per week from 08:00 to 17:00, Monday to Friday

The person:

  • Supervisory experience is essential
  • This role will be subject to Metropolitan Police security clearance.
  • Previous experience of working in a reception environment
  • Able to communicate at many different levels effectively (both in writing and verbally)
  • Will be a committed team player with excellent communication and customer service skills.
  • Must be client focused and able to represent the Company in a professional manner at all times
  • Will have a good working knowledge in IT literate (MS Office).

The key purpose of a Junior Finance Business Partner is to work alongside the Finance Business Partners to support the Embedded Energy business leaders to deliver profitable and sustainable growth for Equans. The Junior Finance Business Partner is responsible for ensuring the accuracy of the financial reports and underlying financial transactions.

What will you deliver?

  • Manage the accuracy of the financial records
  • Assist in the production of the monthly and weekly reporting, and ad hoc reporting requirements that may arise.
  • Assist in the production of Profit & Loss, Balance Sheet and Cash Flow Forecasting

Who are we looking for?

  • Must be working towards an appropriate professional qualification for the role ACA, ACCA, CIMA
  • Ideally experience working in a fast paced Finance organisation, preferably within a similar industry
  • Experience in a similar role within a multi-site business is desirable
  • Commercial acumen, as well as a strong understanding of the relationships between key financial and non-financial business value drivers

Management Accountant

We currently have an exciting opportunity for a Management Accountant to join our Commercial team  on a 12 month fixed-term contract based out of our office at Addenbrooke's Treatment Centre in Cambridge. The Management Accountant will be responsible to assist the Commercial Finance Manager with business partnering and management and control of this Hard FM contract.

This position also offers a great opportunity for candidates who are still looking to complete their ACCA or CIMA qualification; we will endeavour to provide full support in this area.

The main duties and responsibilities of the role will include:

  • Taking responsibility for the production and management of monthly financial results (P&L and balance sheet). Leading, with input from relevant budget holders, the preparation of budgets and forecasts for the contract(s) and risk analysis
  • Presentation of meaningful trends and variance analysis to enable stakeholders to make informed decisions
  • The production and analysis of indicators based on all business areas, such as invoicing, debt, personnel, purchasing, allocations, productivity, and stock control, and notify managers of trends
  • Preparation of the monthly core service fee invoice and other invoices based on contractual information and operational records on non-core activity
  • Monitoring and chasing of debt with clients with a view to optimising cashflows in accordance with contractual arrangements
  • Leading the preparation and review of the pricing of variation quotations prepared for the client.  Driving initiatives for income maximisation and economies in cost
  • Reviewing and driving the contract for general auditing of financial and non-financial obligations as well as for responding to operational queries
  • To produce the year end the statutory audit justification as required
  • Working 40 hours per week from 08:45 to 17:45, Monday to Friday

The person:

  • Ideally CIMA or ACCA part-qualified or working towards it with proven experience in management accounts
  • Financial diligence and attention to detail
  • Ability to multitask and take initiative to work independently
  • A professional level of self-management and desire to get things done/progressed
  • Strong communication skills with confidence to question assumptions
  • Flexible approach and willingness to travel to multi sites
  • Excellent Excel skills, SAP knowledge is an advantage
