Helpdesk Coordinator
EQUANS is looking for a Helpdesk Coordinator to join our team based in Stoke-on-Trent on a permanent basis. This is a full time role working 40 hours per week. On offer is a competitive salary and benefits package.

The Regional Operations Centre (ROC) in Stoke provides helpdesk and business support services to a wide range of facilities management contracts. The Helpdesk Co-ordinator is expected to deliver excellent customer service, handling enquiries via phone, email and self-service channels. You will respond to, plan and organise the full life cycle of all facilities management work from customer enquiry to job completion, utilising the CAFM system (Maximo). This will include planning and dispatching both Reactive and Planned Maintenance works to a number of engineers, sub-contractors and site managers across various locations, ensuring all are completed within contractually defined Service Level Agreements and providing administrative support where appropriate. You will work closely with the team but be expected to demonstrate the ability to work on your own initiative.
What will you deliver?

- Provide a friendly and professional point of contact for customers for any queries or concerns.
- Interpret and log work order requests, inputting details into an in-house system, providing and tracking regular updates to the status of the request through to work complete status in line with Service Level Agreements (SLAs).
- Liaise with wider team members to ensure the best resolution, consistent with the contract.
- Completing all administration tasks that relate to the contact, including assigning contract colleagues and sub-contractors to work orders, purchasing and finance tasks.
- Liaise with relevant Contract staff and subcontractors in relation to all aspects of service requests and that ensure required information is returned in a timely manner. Respond to queries, amend data and re-issue tasks as required.
- Carry out monitoring of CAFM (Maximo) data to ensure that Helpdesk work orders have been accurately created, assigned, prioritised and categorised in line with contractual KPI's and SLA's.
- Support the planned maintenance programme by scheduling activities for engineers, sub-contractors and site managers.
- Comply with company procedures to ensure that all risks relating to safety, health, environment and quality are effectively managed through the use of risk assessments, PPE, training and company procedures to ensure a safe working environment.

Contract Administrator
EQUANS is looking for a Contract Administrator to join our team based in Speke on a permanent basis. This is a full time role working 37.5 hours per week. On offer is a competitive salary and benefits package.
To provide administrative and operational support to the Facilities Manager, Senior Management Team, and other members of the Operations Team.
What will you deliver?

- Assist departments in the administration of information required for SLA/KPI’s and monthly reports.
- Assist in the administration and maintenance of personal files.
- Support Helpdesk team when necessary.
- Planning / co-ordination of meetings on and off site.
- Provide services to the FM Operations Team for meetings / committees and terms of agenda, preparation, minute taking and any follow-up action required.
- Produce routine reports/presentations/statistical data for the Facilities Manager / Senior Management Team to assist with the effective management of the contract.
- Act as an initial point of contact for callers and visitors.
- Establish and maintain effective paper and computer filing systems.
- Undertake word processing, spreadsheets and PowerPoint presentations as required.
- Carry out the ordering of office supplies and other sundries.
- Carry out other duties requested by the Facilities Manager/Senior Management Team in order to maintain the effectiveness of the FM Operations Team.
- Plan, arrange management and produce documentation for company vehicles and business users.
- Control min/max technical stock including reordering and controlling deliveries.
- Carry out purchase ordering and receipting using Maximo/COUPA.
- Assist with management of office housekeeping.

Site Administrator
EQUANS is looking for a Site Administrator to join our team! Your head office base is Hatfield, your time will be split between Hatfield and our two sites located at Camden and Barnett. You will be required to drive in between site and the office, therefor we cover expenses for travel to sites.
We are looking for someone with administration experience working in a construction environment. You will be able to pick up new systems quickly with training provided.
In return we offer a full time permanent position, with a salary between £26,000 - £28,000 depending on your skills and experience.

Senior Notice Processing Clerk
Equans is looking for a Senior Notice Processing Clerk to join our team in Grimsby. This is a full time, permanent role. On offer is a salary between £26,000- £27,252 depending on skills and experience, and benefits package.
What will you deliver?
- To have responsibility for managing the daily notice processing and administration workload, prioritise and delegate accordingly.
- Ensuring that the team works efficiently, by supporting our partner North East Lincolnshire Council to progress cases to full debt recovery through enforcement agents, meeting all legislative and local deadlines.
- Assist the Parking Manager in maintaining and developing policies and procedures relating to the processing of permits and PCN’s including the implementation, monitoring and review of administrative and information systems.
- To be able to interpret legislation, the appeals framework and associated Notice Processing Policy and be able to decide if the appeal is accepted or rejected and effectively communicate this information to members of the public.
- Prepare the monthly f financial and statistical information were necessary for all NELC and EQUANS managed budgets.

- Responsible for ensuring Freedom of Information Requests are completed within the required timeframe.

The Finance Business Partner will be responsible for providing a full management accounting services and delivering a professional, timely and accurate financial reporting & forecasting service.
Key activities:
- Produce timely, accurate, and compliant production of monthly management accounts pack
- Monitor, track and evaluate the operational expenses in the month and recommend efficiencies where possible
- Prepare and post monthly journals including accruals & prepayments
- To perform forecasts, budget preparation and variance analysis
- Support operational management with detailed contract reviews including cost analysis

Finance Analyst

We currently have an exciting opportunity for a Finance Analyst to join our Commercial team working flexibly under a hybrid model in our office at North Middlesex University Hospital in Edmonton (3 days) and at home (2 days). The Finance Analyst will be responsible to assist the Commercial Finance Manager with business partnering and management and control of our North Middlesex University hospital contract.
Duties and responsibilities:
- Taking responsibility for the production and management of monthly financial results (P&L and balance sheet).
- Leading, with input from relevant budget holders, the preparation of budgets and forecasts for the contract and risk analysis
- Presentation of meaningful trends and variance analysis to enable stakeholders to make informed decisions
- The production and analysis of indicators based on all business areas, such as invoicing, debt, personnel, purchasing, allocations, productivity, and stock control, and notify managers of trends
- Preparation of the monthly core service fee invoice and other invoices based on contractual information and operational records on non-core activity
- Monitoring and chasing of debt with clients with a view to optimising cashflows in accordance with contractual arrangements
- Leading the preparation and review of the pricing of variation quotations prepared for the client driving initiatives for income maximisation and economies in cost
- Reviewing and driving the contract for general auditing of financial and non-financial obligations as well as for responding to operational queries
- To produce the year end statutory audit justification as required
Skills, experience, and qualifications:
- Ideally CIMA or ACCA part-qualified or working towards it with proven experience in management accounts
- Financial diligence and attention to detail
- Ability to multi-task and take initiative to work independently
- A professional level of self-management and desire to get things done/progressed
- Strong communication skills with confidence to question assumptions
- Flexible approach
- Excellent Excel skills, SAP knowledge is an advantage

Trainee Customer Experience Liaison Officer

General Overview
Equans are looking to recruit a number of trainee Customer Experience Liaison Officer positions which will be based on sites supporting customers throughout refurbishment works to their home across the North East of England. We are particularly looking for candidates with strong customer service skills who would be willing to train in the construction industry. The purpose of the role is to provide effective liaison between the Site Team and members of the public affected by our work and to assist in the smooth running of contracts and provide a personalized Customer Liaison

Key Accountabilities
- Ensure implementation of all Company Policies and Procedures.
- To keep all tenants fully informed as to the programme of events regarding their particular dwelling
- To regularly visit tenants to establish and resolve any problems that may arise or have already arisen
- To work closely with the Client and their representatives in ensuring good relations are maintained with tenants and the expeditious execution of the works
- To immediately inform the Site Manager of any serious problems arising
- To contribute to a report every week for the Site of events occurring / affecting tenants. This report is to include: All complaints or problems encountered and how they have been remedied, confidential notes on addresses where issues may occur
- To deal with customer complaints in accordance with the QA Procedure
- To attend site meetings / team meetings or any meetings relevant to site
- To provide Handover Packs and instruct on new installations
- Advise Site Manager directly and immediately of any situations that have, or are likely to, cause conflict with tenants
- Be responsible for your safety and others around you, including public protection
- Make every effort to attend all mandatory courses related to your role
- Comply with all the roles and responsibilities as set out within the SHEQ management system

Helpdesk Operative
Equans is looking for a Helpdesk Operative to join our team based at Southern Water in Durrington near Worthing, West Sussex, on a permanent basis. This is a full time role working 40 hours per week from 08:00 to 17:00, Monday to Friday. On offer is a competitive salary and benefits package.
General Overview
Assist with Job Logging / emails. Log and allocate all customer requests to relevant provider.
Deliver excellent customer Service and interpret and manage work orders through Planon and SharePoint systems ensuring that SLA’s and KPI’s are met. Provision of administrative support as required. Reactive works sub-contractor management and on-going works management.
What will you deliver?
- First point of contact for incoming telephone calls and services requests received by telephone and email
- Interpret and log requests, inputting details into an in-house system
- Sort and dispatch calls to relevant provider based on each party’s contract deliverables
- Prioritise urgent jobs and dispatch to relevant provider to address urgent demand
- Manage Helpdesk inbox
- Build and maintain a good working relationship with suppliers and sub-contractors
- Escalate any complaints as required and support continuous improvement activity to reduce levels of customer complaints
- Chase and manage on-going reactive and corrective work faults for engineer’s and sub-contractors
- Analysis of duplicate or re-occurring faults
- Ad-hoc administration duties as required
- Ensure all actions taken to progress a fault are call logged in Planon to ensure a full audit history
- Ensure KPI’s and SLAs are adhered to
- Cross train and learn each role to be able to cover where required.
