Sustainability Compliance Officer

Equans is looking for a Sustainability Compliance Officer to join our team in Wath upon Dearne, on a permanent basis to support the Regional Sustainability Team in adhering to scheme delivery requirements in line with funding and accreditation requirements and maintaining the necessary associated accreditations.

This role will be responsible for collating, validating and preparing PAS 2030:2023 compliance paperwork to Clients, Energy Suppliers and Accreditation Bodies on a weekly basis, operating within contractual deadlines to ensure compliance. This is a full-time role.

What will you deliver?

  • Producing of all necessary paperwork associated with installation of Energy Efficiency measure in line with PAS 2030:2023 process
  • Working closely with scheme Retrofit Coordinators ensuring PAS installation paperwork is provided in line with the main contract programmes
  • Maintain a wide knowledge and understanding of the sector and pass this knowledge onto the wider regional team
  • Provide compliance advice to regional delivery teams regarding energy efficiency measures
  • To ensure that there are zero compliance failures resulting from poor and inaccurate submission information
  • To ensure all Strategic Partner contractual deadlines are adhered to
  • Engage with key supply chain partners to support the effective development and delivery of projects

Document Controller

Equans is looking for a Document Controller to join our team, our head office based is Hatfield however you will spend most of your working week on our site in Wembley. This is a full time, permanent role with  a salary of up to £30,000 - £35,000 depending on skills and experience, plus benefits package.

This role is to work in our Places and Communities department specialising in refurbishments. Our ideal candidate will have document control experience in construction. You will be confidant when working with site teams and senior managers, as well as managing multiple projects at one time.

What will you deliver?

To manage the internal document systems and ensure that all documents are filed correctly, that they are up to date and the latest version. To ensure that all documents are distributed in accordance with the PMP.

  • Act as EQUANS point of contact for all drawing and document control issues
  • Ensure that all information is recorded and retained on central document management system
  • Review and control of document management protocols
  • Archiving historical documentation
  • Assist Design Managers/Co-ordinators and project teams in document management
  • Clear communication of expectations for documents management with designers / design sub-contractors
  • Liaison with the project team for production of information for sub contract enquiries Monitoring document production logs
  • Produce weekly report of information logged and circulate
  • Monitoring of design technical queries
  • Distribution of design information
  • Completion, maintenance and monitoring of records

Equans is looking for a FM Property Officer to join our team in Grimsby and surrounding areas. On offer is a salary up to £27,500 depending on skills and experience and benefits package. This is an 11 month FTC role.

Workflow Coordinator

EQUANS is looking for a Workflow Coordinator to join our team based in Rotherham (on-site) on a temporary basis (12 months FTC). This is a full time role working 40 hours per week. On offer is a salary of £25,791 per annum and benefits package. 

 

As a Workflow Coordinator, you will respond to, plan and organise the full life cycle of all facilities management work from customer enquiry to job completion. You will be expected to deliver excellent customer service, interpreting, and managing work orders through the Maximo system, planning, and dispatching both reactive and planned maintenance works to a number of engineers, sub-contractors, and site managers across various locations, ensuring all are completed within contractually defined SLA’s and providing administrative support where appropriate.

What will you deliver? 

  • First point of contact for incoming telep
  • hone calls and service requests received by telephone and e-mail from EQUANS staff and our customers.
  • Interpret and log work order requests, inputting details into an electronic facilities management (CAFM) system, providing and tracking regular updates to the status of the request through to work complete status in line with Service Level Agreements (SLA’s). 
  • Understand, identify, and apply the SLA for each service request and set expectations with customers.
  • Sort and dispatch call to engineers, sub-contractors and site managers based on the correct skill sets, geographical location and service delivery arrangements.
  • Re-plan/assign as required to manage workload and priorities of response.
  • Meet SLA targets and respond to customer requests.
  • Plan daily workload for engineers using available systems.
  • Prioritise urgent jobs and plan and dispatch operative/sub-contract support to meet urgent demands.
  • Organise planned maintenance for engineers, sub-contractors, and site managers. 
  • Raise purchase requisition and/or purchase orders as directed.
  • Ensure compliance with statutory and company procedures, across all functions within responsible areas.
  • Escalate any complaints as required and support continuous improvement activity to reduce levels of customer complaints.
  • Analysis of job history/running reports to avoid duplication.
  • Promote customer feedback and surveys.
  • Taking and distributing of minutes.
  • Ad hoc site visits – familiarisation visits to sites you are responsible for, meeting the team.
  • Comply with company procedures to ensure that all risks relating to safety, health, environment, and quality are effectively managed through the use of risk assessments, PPE, training, and company procedures to ensure a safe working environment.
  • Highlight any potential SLA breaches to Jeopardy Supervisor.
  • Ad hoc administration duties.

Helpdesk Team Leader

EQUANS is looking for a Helpdesk Team Leader to join our us based in Stoke-on-Trent on a permanent basis. This is a full time role working 40 hours per week. On offer is a competitive salary and benefits package.  
Leading the Stoke Regional Operations Centre (ROC) team to provide an efficient, effective and high-quality helpdesk and business support service to all customers of the ROC.

The Helpdesk team is the first point of contact for a variety of facilities management requirements and administration which interfaces with onsite teams and clients (both internal and external) so excellent communication skills, organisation skills and commercial awareness is essential.

With strong people management skills, customer focus and the ability to understand and interpret complex contractual requirements, the Helpdesk Team Leader will effectively manage the day to day operations ensuring the team deliver a friendly and proactive service, effectively handling queries and managing them in accordance with contractual requirements.

The Helpdesk Team Leader will be expected to monitor and manage performance against the wide-ranging contractual obligations, identifying coaching opportunities and training needs as well as celebrating success and sharing best practice. They will need to maintain a robust quality assurance system to ensure service quality and levels are maintained at the highest standards.

The Team Leader will be expected to work collaboratively across the business to promote closer professional working relationships, ensure service reviews are conducted in a timely manner and ensure actions are followed up quickly and robustly. You will work closely with stakeholders (including Regional Managers/Subcontractors/Procurement/Technical Team and Auditors) to manage a breadth of KPI’s including, Continuous Improvement, Performance, Productivity and Statutory KPI’s.
 What will you deliver?  

  • Day to day management of a Team of Co-Ordinators and Senior Co-Ordinator.
  • Use of HR management tools to record absence and holidays.
  • Performance management of the team including regular reviews PD’s and Development plans.
  • Daily review of KPI’s – specifically Stat M1/M2 and Maint M4.
  • Oversee Admin paperwork – using the Evidence matrix.
  • Work with CAFM lead to ensure schedules are up to date and aligned, highlight discrepancies.
  • Stakeholder management including Regional Operations Teams, HMCTS, subcontractors, CAFM, Regional Technical Team, Auditors and procurement team. 
  • Provide data on how the Compliance Team is performing highlighting any risks or issues. 
  • Identification of process improvement and recommendations to improve ways of working.
  • Maintain staffing in line with TOM and highlight any risks or issues.
  • Work with the regional teams to ensure historical jobs are closed in a timely manner by attending an open works call each week. To deal with any escalation raised by the Regional in relation to non delivery of work.
  • Working with the subcontractors – provide feedback to procurement for Supplier Relationship meetings.
  • Implementation and lead on weekly KPI calls with Regional Teams.
  • Use of management tools such as Maximo, Coupa, BI Launchpad to analyse data.
  • Liaise directly with HMCTS on any issues regarding to complaints.

General Operative

EQUANS is looking for a General Operative to join our team in Kidderminster on a permanent basis. This is a full time role working 37.5 hours per week. On offer is a competitive salary and benefits package.  The aim of this role is to provide a high quality level service according to contractual service level requirements. What will you deliver? 

  • Correctly and efficiently recording information relating to specified mail items utilising a number of different valuable recording systems.
  • Identify suspected fraudulent items utilising technology provided and processing as per requirements for each unique business unit.
  • Reconciliation of banking and manifest documentation.
  • Ensure mail trays are logged onto system at point of receipt and tray ID’s generated.
  • Check mail trays for exempt from opening items.
  • Ensure mail flows through to high speed opening, x-ray or scanning prep areas smoothly and efficiently as per the production plan.
  • Ensure envelopes are opened on the high speed equipment in rotation as per the plan and that all tray id’s are updated on the system.
  • Accurately preparing mail into batches for scanning.
  • Ensure correct envelope and document separators are used where mail is being prepared for scanning.
  • Ensure correct exempt lists are referred to for the Business Unit mail being handled.
  • Utilise technology during sort process to record live production information.
  • Ensure valuables are secure during the sort process and identifiable at all times.
  • Ensuring high priority batches are scanned first.
  • Ensure correct information is selected on the scanning software prior to scanning a batch for the multiple business units documents being scanned within the scanning area.
  • Ensure any good housekeeping tasks are undertaken on the scanners or within the scanning room at the start and end of each shift.
  • Ensure the documentation once scanned is sent to the next relevant area within the unit.
  • Undertake any archiving tasks as required.
  • Report any areas of concern to the Team Leader.
  • Comply with all processes and procedures to support multi skilled training.
  • Undertake any other duties and ad hoc tasks that may reasonably be expected by the Team Leader.
