Contracts Administrator

EQUANS is looking for a Contracts Administrator to join our team based in Reading on a permanent basis. This is a full time role working 40 hours per week. On offer is a salary banding of £25,000 - £26,500 per annum, dependant upon skills and experience as well as benefits package. 

 

Working on the Water Compliance team, this is a key role in ensuring Compliance and Quoted remedial works are fully logged and prepared ahead of attendance at site, together with the upload of statutory documentation to various customer systems. The monitoring of supplier invoices ensures financial controls are maintained.

The ideal candidate will have strong knowledge of in-house systems and processes are required to undertake this role effectively. Time management skills and attention to detail feature strongly in the job holder’s ability to effectively complete all tasks within timescales.  

What will you deliver? 

  • Generate quoted works within SAP and Plan-on in a timely manner, updating the Quotation System with job numbers and any additional information as required. 
  • Generate purchase orders for quoted works, materials, tooling and calibrations against engineer cost centres using purchasing system Coupa. 
  • Liaise with the Regional Managers, Supervisors and Schedulers to schedule/assist arranging labour attendance and lab requirements for remedial works. 
  • Uploading of all statutory documentation to internal trackers, and issue Stat Docs to designated customer Compliance Teams for upload to client portals / Sharepoint. 
  • Monitor the Compliance Tracker and investigate and chase down missing or outstanding paperwork.
  • Maintain stock control system and raise POs when requested in order to maintain minimum stock levels or complete call-off requests.
  • Quality checking of invoices & credits within Coupa for correct and matching information, dispute discrepancies with subcontractor or suppliers.
  • Chase appropriate party for supporting information if not in place.
  • Liaise with the Regional Managers and Supervisors to effectively deal with subcontractor & supplier invoicing queries, escalating issues where necessary to Management team. 
  • Arrange and order Supervisor and Engineer workwear through the Swift Industrial portal, logging items and distribution once items have been quality checked. 
  • Carry out general administrative duties in line with the departmental policies & procedures as required including cross training on the other administrative roles to provide absence cover.
  • Undertake any ‘ad hoc’ duties as requested by Management Team.

Helpdesk Coordinator

EQUANS is looking for a Helpdesk Coordinator to join our team in Location on a temporary basis (11 month FTC). This is a full time role working 40 hours per week. On offer is a salary banding of £23,800 - £24,500 dependant upon skills and experience as well as benefits package.

The Regional Operations Centre (ROC) in Stoke provides helpdesk and business support services to a wide range of facilities management contracts. The Senior Service Co-ordinator will work with a team of Service Co-ordinators to ensure effective daily operations, adhering to performance standards for the contracts within the team, and monitoring resource and demand levels. You will have an in-depth knowledge of the contracts within your team and be able to react effectively to meet the needs of those contracts, You will liaise with contract teams on day to day matters, including the tracking of open work orders. 

You will be expected to deliver excellent customer service, handling enquiries via phone, email and self-service channels. You will respond to, plan and organise the full life cycle of all facilities management work from customer enquiry to job completion, utilising the CAFM system (Maximo). This will include planning and dispatching both Reactive and Planned Maintenance works to a number of engineers, sub-contractors and site managers across various locations, ensuring all are completed within contractually defined SLA’s and providing administrative support where appropriate.  You will work closely with the team, but be expected to demonstrate the ability to work on your own initiative.

What will you deliver? 

  • Provide first-line supervision to a team of Service Co-ordinators to ensure daily operations are effective and efficient. 
  • Liaise with Team Leaders to manage resources effectively to meet demand across all contracts within the team. 
  • Track daily performance against contractual SLAs.
  • Ensure contract guides and information are up to date, liaising with contract teams where necessary.
  • Carry out monitoring to ensure quality and adherence to performance standards under the guidance of the Team Leader.
  • Act as first point of contact for contract team escalations.
  • Provide a friendly and professional point of contact for customers for any queries or concerns.
  • Interpret and log work order requests, inputting details into an in-house system, providing and tracking regular updates to the status of the request through to work complete status in line with Service Level Agreements (SLAs). 
  • Liaise with wider team members to ensure the best resolution, consistent with the contract.
  • Completing all administration tasks that relate to the contact, including assigning contract colleagues and sub-contractors to work orders, purchasing and finance tasks.
  • Liaise with relevant Contract staff and subcontractors in relation to all aspects of service requests and that ensure required information is returned in a timely manner. Respond to queries, amend data and re-issue tasks as required.
  • Carry out monitoring of CAFM (Maximo) data to ensure that Helpdesk work orders have been accurately created, assigned, prioritised and categorised in line with contractual KPI's and SLA's.
  • Support the planned maintenance programme by scheduling activities for engineers, sub-contractors and site managers. 
  • Comply with company procedures to ensure that all risks relating to safety, health, environment and quality are effectively managed through the use of risk assessments, PPE, training and company procedures to ensure a safe working environment.

Finance Administrator

EQUANS is looking for a Finance Administrator to join our team based at Tameside General Hospital on a temporary basis (14 months). This is a full time role working 37.5 hours per week. On offer is salary of £31,668 - £32,000 per annum, dependant upon skills and experience as well as benefits package. 

 

Reporting into the Performance Manager, you will provide administrative support, covering financial, purchasing functions and general support to the account management team as required.

What will you deliver? 

  • Ensure WIP, POEM and GRIR reports are maintained in line with finance policy and agreed targets dealing with any queries as required. 
  • Ensure all supplier invoices are accurately and efficiently processed in accordance with relevant policies and procedures.
  • Process Purchase Card transactions ensuring data is accurate using MiVision commercial banking system.
  • Resolve invoice queries and deals with legal notices from suppliers as required, within appropriate timescales.
  • Liaise with finance and management teams to resolve queries.
  • Liaising with suppliers, Trust Representatives and sub-contractors, chasing outstanding works and invoices.
  • Raise Purchase Orders on Coupa system as required and in accordance with policies and procedures.
  • Receipt Purchase Orders efficiently to ensure supplier payment in line with terms of contract.
  • Responsible for generating the contracts monthly invoices for the client, including all material costs and sub contract costs.
  • Assist the contract with the production of monthly Payment Report.
  • Provide monthly timesheet information relating to overtime and staff agency costs.
  • Maintain Training Matrix for all staff ensuring all training is up to date, book training courses and communicate effectively with training provider, staff candidates and management team to ensure staff are released from duties with minimum disruption to service.
  • Input sickness absence on SAP system as required.
  • Ensure client PO’s and client invoicing is appropriately maintained.
  • Ensure all variable works are appropriately planned and completion dates agreed within prescribed parameters.
  • Generates and maintain all records/spreadsheets as appropriate. 
  • Establish excellent working relationship with clients, contract managers, sub-contractors and suppliers.
  • Provides administrative support to management team as required.
  • Assist with booking travel and accommodation as required.
  • Attend meetings, take, transcribe and distribute meeting minutes and notices as required.
  • Attend mandatory training and participate in e-Learning sessions.
  • Maintain safe work area and report accidents or near misses to the Performance Manager and incident reporting system.
  • Report any issues to the Performance Manager and make recommendations on improvements to the service.

Customer Service Representative

Working in partnership with Cheshire West and Chest Council, EQUANS is looking for a Customer Service Representative to join our team based in Winsford on a permanent basis. This is a full time role working 37.5 hours per week. On offer is a salary of £23,400 per annum and benefits package. 

 

You will work as part of a multi-functional integrated team, making and receiving enquiries by telephone, e-mail and other contact methods, primarily based at the Qwest Services’ Contact Centre in Winsford, Cheshire, (Qwest is a Joint Venture Company working with Cheshire West and Chester Council). Taking appropriate action to provide an efficient and effective customer experience and act as an intermediary between the customer and service areas.

Please note - the role is 37.5 hours per week, any 7.5 hours between 8.00am and 7.00pm from Monday to Friday, with an unpaid lunch break of 45 minutes each day.

  • Provide information, advice and services to residents on behalf of Qwest Services and Cheshire West & Chester Council.

You will be expected to deliver excellent customer service, handling enquiries via phone, email and self-service channels. You will respond to, plan and organise the full life cycle of all facilities management work from customer enquiry to job completion, utilising the CAFM system (Maximo). This will include planning and dispatching both Reactive and Planned Maintenance works to a number of engineers, sub-contractors and site managers across various locations, ensuring all are completed within contractually defined SLA’s and providing administrative support where appropriate.  You will work closely with the team, but be expected to demonstrate the ability to work on your own initiative.

What will you deliver? 

  • Provide first-line supervision to a team of Service Co-ordinators to ensure daily operations are effective and efficient. 
  • Liaise with Team Leaders to manage resources effectively to meet demand across all contracts within the team. 
  • Track daily performance against contractual SLAs.
  • Ensure contract guides and information are up to date, liaising with contract teams where necessary.
  • Carry out monitoring to ensure quality and adherence to performance standards under the guidance of the Team Leader.
  • Act as first point of contact for contract team escalations.
  • Provide a friendly and professional point of contact for customers for any queries or concerns.
  • Interpret and log work order requests, inputting details into an in-house system, providing and tracking regular updates to the status of the request through to work complete status in line with Service Level Agreements (SLAs). 
  • Liaise with wider team members to ensure the best resolution, consistent with the contract.
  • Completing all administration tasks that relate to the contact, including assigning contract colleagues and sub-contractors to work orders, purchasing and finance tasks.
  • Liaise with relevant Contract staff and subcontractors in relation to all aspects of service requests and that ensure required information is returned in a timely manner. Respond to queries, amend data and re-issue tasks as required.
  • Carry out monitoring of CAFM (Maximo) data to ensure that Helpdesk work orders have been accurately created, assigned, prioritised and categorised in line with contractual KPI's and SLA's.
  • Support the planned maintenance programme by scheduling activities for engineers, sub-contractors and site managers. 
  • Comply with company procedures to ensure that all risks relating to safety, health, environment and quality are effectively managed through the use of risk assessments, PPE, training and company procedures to ensure a safe working environment.

Management Accountant

Equans is looking for a Management Accountant to join our team at Jo Richardson Community School on a permanent basis. This is a full-time role working 40 hours per week. On offer is a competitive salary and benefits package.

The role offers hybrid working. There is an expectation to be on site 3 days per week. 

The Management Accountant is responsible for delivering professional, timely and accurate financial reporting & forecasting, for a range of business units. This is a broad role, which encompasses financial management, contractual support and risk management.

What will you deliver?

  • Take responsibility for producing timely/accurate/compliant monthly financial results (P&L and balance sheet), for each of the service lines within your scope. Produce forecasting exercises (budget and re-forecasts). Monitor, track and analyse the operational expenses in the month and recommend efficiencies where possible.
  • Presentation of meaningful trends and variance analysis to enable your customers to make informed decisions. Provision of internal and statutory audit justifications as required
  • Take responsibility for the production of key financial indicators. Analyse and provide recommendations to site management, to optimise the Company’s position (i.e. supplier payments, debtor days, etc)
  • Preparation of the monthly core service fee invoice and other invoices based on contractual information and operational records on non-core activity
  • Monitoring and chasing of debt with clients with a view to optimising cashflows in accordance with contractual arrangements
  • Evaluate and challenge - using appropriate data and analytics - the budgeting and operations of each site and service line: resource levels, performance vs. output specifications and suitable benchmarks
  • Support general managers to minimise performance penalties. Analyse root causes /recommendations
  • Liaise with relevant staff to improve paper flow and cash flow, making suggestions where appropriate
  • Assisting with analysing / auditing contractual compliance and risks, to provide sound support to site management, and ensure that the business is gaining full entitlement of contractual arrangements
  • Provide support to your manager and business leaders when pricing contractual variations and tendering for new opportunities (pricing, modelling, etc)
  • Play a key role with the Operational team reviewing the monthly Performance Management System with a view to minimising risk to the business
  • Take an active part in the optimisation of our management systems and reporting suite – to provide meaningful financial information to our customers, in the most effective way

Local Transport Plan Assistant

EQUANS is looking for a Local Transport Plan Assistant to join our team in Grimsby on a permanent basis. This is a fulltime role working Monday to Friday. On offer is a competitive salary and benefits package. 

EQUANS is North East Lincolnshire Council’s long-term Regeneration Partner delivering a number of services on their behalf, including the Highways & Transport Service. This role is required to support the Senior Transport Policy Officer, to ensure the effective development of highways and transport strategies and the administration of an annual programme of traffic, transport, road safety and highway maintenance schemes.  The LTP Assistant will carry out duties to support the development of the Council’s new Local Transport Plan strategy document and the effective administration and delivery of the annual LTP programme of schemes.

You will assist in the delivery of the Transport Team’s day to day functions and the development of North East Lincolnshire Council’s Local Transport Plan strategy.  Key requirement will be to provide clear and effective communications (both written and verbal), the ability to carry out research concerning national and regional transport policy and to investigate examples and areas of good practice.    

You will report to the Senior Transport Officer and will contribute ideas for the delivery of the service improvement and efficiency. 

 

What will you deliver? 

  • To support the development of North East Lincolnshire Council’s Local Transport Plan Strategy.
  • Support the commissioning of external consultants including the preparation of tender documents, purchase orders and invoicing. 
  • Dealing with internal and external stakeholders responding to a range of enquiries relating to strategy development and programme delivery.
