Equans is looking for a Bid Manager to join our team in South Yorkshire on a permanent basis. This is a full-time role working 37.5 hours per week. On offer is a competitive salary, company car and benefits package.

 Main Purpose of the Role

As a Bid Manager, you will play a critical role in helping us secure new contracts by producing compelling, high-quality bid submissions. As part of a multi-disciplinary bid team, you will be responsible for developing and writing content for tenders, proposals, and other bid-related documents, ensuring that our submissions meet client specifications and stand out in a competitive marketplace. 

About You

The ideal candidate will have previous experience in bid writing, ideally within the Housing or Construction sector.

Finance & Billing Analyst

Equans is looking for a Finance and Billing Analyst to join our team in Birmingham on a permanent basis. This is a full-time role working 37.5 hours per week. On offer is a competitive salary and benefits package.

Responsible for delivering in line with the business’s financial processes across the Sandwell and West Birmingham contract. Must have a “can do” attitude with the flexibility and adaptability to be a team member in a changing business environment.

Ability to work to tight deadlines related to month end and billing periods. Expected to work on own initiative, managing tight deadlines and have excellent time management and organisational skills. Be versatile and adaptive, reacting to changing customer and business requirements. Readily accept responsibility for new initiatives as dictated by the business.

What will you deliver?

  • Management of WIP through running WIP reports and ensuring costs are captured accurately, including parts and materials
  • Review and manage outstanding costs for billable jobs
  • Issue WIP reports on a monthly basis to the Trust and actively partake in these, responding to queries from the Trust
  • Collate and issue payment application to the Trust in line with contractual timescales
  • Review of purchase orders raised for accuracy and validation and feedback any discrepancies to the admin team. Provide further training/coaching as required
  • Undertake POEM and GRIR reviews and work with the administration team to ensure supplier invoice queries are resolved
  • Train the administration team on how to use Coupa to raise purchase orders for the contract
  • Liaise with the Helpdesk team/Maximo reports to establish status of jobs prior to billing
  • Serve as a link between Operations and Finance in providing prompt feedback to queries raised
  • Prepare internal orders for billing
  • Raise and issue all invoices to the Client across Lots 1 to 4 and ensure these are chased for payment, flagging any issues to the Finance Business Partner and Contract Services Manager
  • Close Internal orders in SAP
  • Log and track all contract notifications issued by the Trust ensuring these are logged within the contractual timescales and issued to the Management team for action
  • Maintain the Contract Notification register and report on the status to the Management team
  • Ensure all billing associated with Contract notifications is processed accordingly
  • Feed into the monthly and annual reporting process for the contract providing analysis on costs against the estate care categories
  • Link in with the necessary support functions such as Procurement and Commercial to deliver the outputs as required in the role
  • Other duties as assigned by the Regional Business Support team, Finance Team and Contract Management Team

Who are we looking for?

  • Experience of working in a finance capacity preferably in a facilities management / Estate’s organisation
  • Good financial & commercial acumen
  • Ability to analyse complex date with accuracy
  • Good communicator and strong inter-personal skills
  • Excellent planning and administration skills
  • Being open to innovation and new ways of working
  • Strong IT skills with excellent working knowledge of ERP systems e.g.SAP, Oracle

The Category Manager will play a pivotal role in maximising the value of Procurement at Equans UK&I by executing a structured, collaborative approach to category projects that optimises the procurement of similar products and services. 

This pivotal role within the Procurement Function is essential in delivering a unified, centralised support service across a diverse, autonomous, and nationally dispersed organisation. Reporting directly to the Category HUB Leader, the role is specifically accountable for:

  • Strategic Management of the HR Services Category: This involves conducting comprehensive spend analyses, assessing current and future business needs, and analysing supplier markets and industry dynamics to optimise procurement strategies
  • Supplier Engagement and Relationship Management: Engage with the HR Services supply chain to identify those best positioned to fulfil Equans’ business requirements, overseeing these relationships to ensure continued alignment with quality, functionality, and cost-effectiveness standards
  • Value Chain Optimisation and Savings Generation: Proactively identify opportunities to drive value across the entire procurement spectrum, prioritising cost savings through a structured Category approach, with a focus on achieving transparent and measurable results

What will you deliver?

  • Strategic management of the HR Services category: analysis of spend & business needs, anticipation of future needs, supplier market analysis and market dynamics - Management of the related supply chain, contract extension/renewal, launch and drive end to end RFP/RFQ processes, etc
  • Leading the development of procurement strategies in close cooperation with business operations and procurement stakeholders activating all spend reduction levers
  • Defining and implementing an action plan to deploy strategies for BUs/entities to effectively reduce their external spend on the category and/or mitigate market increases
  • Steering economic performance (external spend reduction), supplier performance on category
  • Adapting strategy in response to changes (market, internal budgets, technologies)
  • Supporting operational entities in the implementation and monitoring of supplier policy defined for the category
  • Assist the Delivery and Commercial teams in efficient subcontract procurement
  • Work to and support supply chain deals, working with procurement department to ensure the BU achieves the best potential in terms of supplier arrangements
  • Understand and protect the companies commercial and legal position in relation to its contractual engagement with supply chain arrangements clearly setting out the terms and proposals
  • Oversee and manage the recovery of retrospective rebates with regards
  • Setting annual rebate collection targets
  • Promoting rebate arrangements across group to maximise utilisation
  • Provide pre-tender specialist commercial input as required to ensure accurate net cost pricing
  • Support subcontractor procurement by benchmarking and interrogating costs to ensure additional contribution opportunities are realized (re-invigoration of cost benchmarking database and e-procurement)
  • Attend and participate in Design Team Meetings to influence and steer specifications towards most commercially advantageous products
  • Maintain and publish regular and accurate reports demonstrating the effectiveness of strategic sourcing arrangements and contribution to the group profit improvement / efficiency plan
  • Monitor supplier / category expenditures and trends
  • Build and maintain excellent supplier relations
