Contract Administrator - Technical Scheduler
Equans is looking for a Technical Scheduler - Water Compliance to join our team in Pacific House, Reading on a permanent basis. This is a full time role working 40 hours per week. On offer is a competitive salary, and benefits package.
Overview
As Technical Scheduler, you will be part of the Administrative Team for Equans Water Compliance.
You will work closely with the Regional Managers & Supervisors to ensure all water treatment works.
(PPM, reactive & quoted) are scheduled and dealt with in a timely manner in accordance with the contractual requirements, in order to meet KPI’s and strict timescales for water testing requirements.
As part of the role you will supervise the workflow and activities of the administrators.
Key Deliverables:
- Schedule PPM and reactive works in a timely manner ensuring contractual KPI’s are met
- Logging and assigning jobs on CAFM systems Planon, E-logs and other customer based systems if necessary ensuring all systems are continuously updated
- Liaising with appropriate parties (both internal and external) to provide necessary updates and supporting information when requested. Issue purchase orders when required
- Carry out regular analysis of current PPM regime to identify current trends and patterns to achieve effective delivery of engineering resource
- Liaise with water laboratories when required to arrange sample collections
- Work with the management team to discuss and implement appropriate courses of action
- Ensure CAFM systems are up to date at all times, extracting key MI when requested
- First point of contact for engineers and Regional Managers/Supervisors regarding scheduling queries
- Manage the workflow of all administrators and take action where necessary to ensure critical works are completed within given timescales
- Carry out general administrative duties in line with the departmental policies & procedures
- Undertake any ‘ad hoc’ duties as requested by the Management team

Contract Administrator
Equans is looking for a Contract Administrator to join our team at Sheffield University on a permanent basis. This is a full time role working 37.5 hours per week. On offer is a salary of £24,000 - £25,500 dependant on skills and experience alongside company benefits package.
Overview
The role of the Contract Administrator is both wide and varied; and requires a “can do” attitude with flexibility and adaptability. Acting in a central function within the account, you will be responsible for workflow and financial administration duties associated with Facilities Management in a PFI environment. The role requires the ability to work alone and as part of a diverse team. The successful candidate will perform multiple functions; excellent organisational and communication skills are paramount and will be vital in this complex role.
Key deliverables:
- End to End workflow administration of Reactive Works through the Maximo 7.5 CAFM system
- Supports works Supervisors with oversight and distribution of Work Orders
- Trend Analysis of Maximo Work Orders through BI
- Raising & Receipting of PPM and reactive works Purchase Orders
- Liaising with subcontractors for delivery of reactive works
- Liaising with the University Helpdesk for coordinating both access to buildings and the delivery of works.
- Raising of all client Invoices and Credit Notes through SAP
- Interpret reactive work descriptions to support administration of student damage through the client STEMS system
- Monthly review of all GRIR and WIP (Work in Progress)
- Administration of contract variations
- Management of operational breaches and deductions via Maximo
- Processing and inputting of employee data in SAP for Sickness, Absence, Annual Leave and Overtime / Payroll
- Generates all required data to the Account Manager for the monthly client report
- Administration of all Purchase Card expenditure receipts and reconciliation
- Support the wider contract with general administrative support as required

Helpdesk Team Leader
EQUANS is looking for a Helpdesk Team Leader to join our team based in Stoke-on-Trent on a permanent basis. This is a full time role working 40 hours per week. On offer is a competitive salary and benefits package.
You will lead the Stoke Regional Operations Centre (ROC) team to provide an efficient, effective and high-quality helpdesk and business support service to all customers of the ROC.
The ROC is the first point of contact for a variety of facilities management requirements and administration which interfaces with onsite teams and clients (both internal and external) so excellent communication skills, organisation skills and commercial awareness is essential.

Business Administration Support Officer
EQUANS is looking for a Business Administrator Support Officer to join our team based in Manchester, M12 on a permanent basis. This is a full time role working 37.5 hours per week. On offer is a salary of £20,000 - £22,000, dependant upon skills and experience as well as benefits.
You will provide an efficient and professional administration service to the business covering the Operational and P&D sections. Involved in tasks such as the time recording invoicing and financial processes. aligned to the delivery of the hard services contract and specifications for: Manchester City Council – Public Buildings.
What will you deliver?
- Support the Planning Manager by producing daily updates and weekly reports as required
- Preparation and completion of invoicing for all work streams
- Feed into commercial report as required
- Develop agree and review processes required to deliver the contract
- Ensure all supplier invoices are accurately and efficiently processed in accordance with relevant policies and procedures
- KPI contract requirements - service request management)
- Identifying issues and pro-actively offering solutions to improve performance & include implementation. Continuous improvement as and when issues are identified bring forward ideas and solutions to resolve
- Raise purchase orders as required in line with policies and procedures
- Attend Meetings, take transcribe and distribute meeting minutes in line with contract KPI’s

- Order stationary when required
- Ensuring time sheets are accurate and processed timely, ensure hours booked to jobs are accurate to ensure invoicing is carried out in line with contract requirements
- Overtime submission
- Monitor and track progress of potential overdue orders, closing down of orders, cyclical maintenance activities and monitor/track and report KPIs as required per contract
- Financial performance of the contract in line with contract KPI requirements
- Photocopying, scanning and binding documents as required
- Utilise IT to the full and ensure work is progressed effectively
- Maintain confidentiality of private and confidential information
- Any other reasonable management request
- Adhere to agreed financial timeline in SAP
- Support FBP with various submissions on a daily, weekly, monthly, and annual basis

Finance & Billing Analyst
EQUANS is looking for a Finance & Billing Analyst to join our team based at Sandwell and West Birmingham Hospital on a permanent basis. This is a full time role working 40 hours per week. On offer is a salary of £28,000 per annum, dependant upon skills and experience as well as benefits package.
Reporting to the Performance Manager, you will be responsible for delivering in line with the business’s financial processes across the Sandwell and West Birmingham contract. Must have a “can do” attitude with the flexibility and adaptability to be a team member in a changing business environment. The ability to work to tight deadlines related to month end and billing periods. Expected to work on own initiative, managing tight deadlines and have excellent time management and organisational skills. Be versatile and adaptive, reacting to changing customer and business requirements. Readily accept responsibility for new initiatives as dictated by the business.
What will you deliver?
- Management of WIP through running WIP reports and ensuring costs are captured accurately, including parts and materials
- Review and manage outstanding costs for billable jobs
- Issue WIP reports on a monthly basis to the Trust and actively partake in these, responding to queries from the Trust
- Collate and issue payment application to the Trust in line with contractual timescales
- Review of purchase orders raised for accuracy and validation and feedback any discrepancies to the admin team. Provide further training/coaching as required
- Undertake POEM and GRIR reviews and work with the administration team to ensure supplier invoice queries are resolved
- Train the administration team on how to use Coupa to raise purchase orders for the contract
- Liaise with the Helpdesk team/Maximo reports to establish status of jobs prior to billing
- Serve as a link between Operations and Finance in providing prompt feedback to queries raised
- Prepare internal orders for billing
- Raise and issue all invoices to the Client across Lots 1 to 4 and ensure these are chased for payment, flagging any issues to the Finance Business Partner and Contract Services Manager
- Close Internal orders in SAP
- Log and track all contract notifications issued by the Trust ensuring these are logged within the contractual timescales and issued to the Management team for action
- Maintain the Contract Notification register and report on the status to the Management team
- Ensure all billing associated with Contract notifications is processed accordingly
- Feed into the monthly and annual reporting process for the contract providing analysis on costs against the estate care categories
- Link in with the necessary support functions such as Procurement and Commercial to deliver the outputs as required in the role
- Other duties as assigned by the Regional Business Support team, Finance Team and Contract Management Team.

Who are we looking for?
- Experience of working in a finance capacity preferably in a facilities management / Estate’s organisation
- Good financial & commercial acumen

Performance Analyst

Reporting to the Performance Manager, we are recruiting for a Performance Analyst to be based across the Sandwell & West Birmingham NHS contract. We are looking for someone with a strong background in contract performance reporting and compliance as we will need you to “hit the ground running”. You will be responsible for collating contractual reporting across the contract with a key focus on trend analysis across contract KPI’s, SLA’s and service delivery. The key aims of this role are to produced within the required timescales and trends analysed and presented to Management.
What will you deliver?
- Proactively monitor KPIs and SLA performance so that any issues are resolved to avoid failure
- Manage weekly, bi-weekly, quarterly, bi-annual and annual reporting data against all site KPI’s to feed into month end reporting, including capture of follow-on jobs
- Produce and present monthly contract performance reports and payment mechanism reports ensuring contractual deadlines are achieved
- Calculate service deductions and service failure points incurred for performance failures and unavailability to be submitted within the reports. Review performance failure mitigations where appropriate in conjunction with Department Heads.
- Carry out internal ‘stress test’ audits on performance including reviewing paper based KPI’s where electronical compliance monitoring is not possible
- Undertake trend analysis on KPI data to drive performance improvements
- Co-ordinate response to client performance audits where these are requested. Capture and close out audit actions
- Work with the operational teams to ensure that planned maintenance activities align with performance targets
- Hold Review meetings with the contract teams to present performance, opportunities, and risks
- Develop a contract performance dashboard summarising performance across both contract and business KPIs
- Support the Operational teams with tracking all NCR’s on the contracts and working with them to close these out
- Contribute to and review the annual performance report
- Develop effective working relationships with operational teams, business partners, and clients to improve operational performance
- Build and maintain effective relationships with customers via user groups
- Fair and consistent attitude in all dealings at all levels
- Clear communication of the company vision and objectives ensuring the implementation of new procedures

PPM Compliance Coordinator
EQUANS is looking for a PPM Compliance Coordinator to join our team based in Stratford, London on a temporary basis (3 Months). This is a full time role working 40 hours per week. On offer is a competitive salary and benefits package.

What will you deliver?
- Providing a link between the Operations and Helpdesk team, being the main point of contact for all PPM task related issues
- Alignment of Inhouse and subcontractors for delivery of PPM activities including collation of reports and corrective actions
- Ensure PPM tasks are scheduled and completed on time and all subcontractor administrative actions are completed in a timely manner
- Contribute to improving customer support by actively responding to queries and handling complaints and compliments
- Chasing and closing tasks, ensuring we remain within SLA
- Work proactively to ensure escalated issues are managed professionally and in a timely manner
- Maintain a continued focus on process improvement, establishing best practise and sharing information with the wider team to ensure consistency
