Security Receptionist

EQUANS is looking for a Security Receptionist to join our team based at West Burton A Power Station on a permanent basis. This is a full time role working 40 hours per week. On offer is a salary of £23,975 per annum and benefits package. 

This is a full-time position 40 hours per week Monday to Friday. The Job will require a degree of flexibility to allow optimisation of reception cover by staggering start and finish times.

You should be able to make concise, verbal, and written reports and have a thorough understanding of MS Office applications and confidence when operating IT equipment including modern intruder detection and access systems. 

This is a physical role which may require the applicant to conduct secondary duties such as patrolling by foot and vehicle.

 

What will you deliver? 

  • Carryout Gatehouse reception duties, using appropriate software packages including Word & Excel 
  • Ensuring that customers are greeting in a friendly and professional manner, whilst maintaining that only authorised persons are granted site access
  • Controlling access and egress of vehicles, cranes and abnormal loads in accordance with Assignment Instructions (AI’s)
  • Updating the site presence monitoring system (Tensor) as required
  • Inducting Visitors, delivery and HGV drivers in accordance with Management Instructions
  • Reporting suspicious persons, vehicles or objects in accordance with LOP’s and AI’s
  • Protect the sites property and employees against loss or damage caused by fire, theft, flood or accident
  • Challenge anyone that is working in an unsafe manner or not wearing correct PPE
  • Patrolling by foot or vehicle as directed by the AI’s or Site Supervisor
  • Monitoring CCTV and reacting in accordance with LOP’s, AI’s and ICO guidelines
  • Operating the Weighbridge as per Local Operating Procedures (LOP’s)
  • Undertake other duties as required, these may be outside your normal duties but will be required to ensure the efficient and safe operation of the business.

  • SIA Licence

What will you deliver?

  • Provide assistance to the Traffic and Transport team by undertaking investigations relating to the introduction of road safety improvement schemes including carrying out site visits, identifying solutions, the drafting of proposals and the carrying out of stakeholder consultation.
  • Investigate speed related complaints and arrange speed surveys.
  • Assist with the development and implementation of the Council’s Casualty Reduction Strategy.
  • Assist with management of existing speed camera sites
  • Assist with delivery of the Local Transport Plan (LTP) programmes.
  • Support the drafting of Traffic Regulation Orders (TROs) including undertaking site assessments, drafting proposals, undertaking stakeholder engagement, and collating responses.
  • Support the administration of other highway requests from the public and elected members.
  • Maintain the Highway Asset Management Register database on behalf of the Transport & Traffic team.
  • Collate, investigate and provide appropriate responses to public queries and comments.
  • Assist with the preparation of drawings & estimates for work orders.
  • Produce and maintain accurate records of works.
  • Assist with the co-ordination of events on the highway.
  • Undertake such other duties as may be reasonably expected at this level.

EQUANS is looking for a Revenues Inspector to join our team in Newcastle on a permanent basis. This is a fulltime role working Monday to Friday. On offer is a salary of £26,000 to £29,000 depending on experience, Car, and benefits package. 

The position is responsible for undertaking all aspects of administrative processing to deliver the full range of Revenue and Benefit Services. Ensure all work is dealt with in an accurate and timely manner and in accordance with all relevant statutory regulations, policies and procedures. Deliver excellent outcomes for customers and ensure adherence to agreed key metrics and KPIs that contribute to delivery of an efficient and effective Revenues and Benefits Service.

What will you deliver? 

  • Undertake property inspections and other enquiries to establish liabilities and new properties for council tax and business rates.
  • Provide high quality, timely and professional services through all customer contact channels
  • Verify, process and administer all aspects of Local Taxation including calculation of liability, award of council tax support, reductions and reliefs.

Project Coordinator

EQUANS is looking for a Project Coordinator to join our team based at Birmingham City Hospital on a permanent basis. This is a full time role working 37.5 hours per week. On offer is a competitive salary and benefits package.

Reporting to the Senior Project Manager, the Project Coordinator conducts the role according to onsite processes and procedures. The position ensures that Equans can meet contractual obligations whilst simultaneously providing an excellent service to our customers.

The Project Coordinator makes up part of the Projects Team which contributes to the effective and operation of the projects Service that is conducive for the delivery of healthcare.

 

What will you deliver? 

  • Management of financial administration process associated with all projects i.e., coordinating and maintaining all Applications, WIP, Debt, Variations, final accounts, and invoicing to the client and Subcontractor
  • Liaison with clients and internal colleagues to ensure constant communication with regards to the status of works and application/final account sign off
  • Attend meetings associated with debt and WIP on Projects to ensure invoicing is streamlined appropriately
  • Ensuring all project works are invoiced upon completion or at agreed stages in agreement with client
  • Manage and fully complete the WIP process to ensure cost control is achieved and WIP is kept to a minimum
  • Ensure all Operational costs are processed appropriately and invoiced
  • Assist other colleagues in the management of ongoing operational costs on completion of a project
  • Raise appropriate orders, receipt, and manage contractor invoicing & down steam applications
  • Liaison with Project Managers & Site Managers to ensure completion paperwork is complete on all Project claims
  • Ensure all contractual notices on all projects are obtained and completed in a timely manner to ensure all cost are captured on each project
  • Liaison with other site personnel and client representatives including Trust wards and departments, other service providers, suppliers, contractors etc as appropriate
  • Efficiently and accurately use the computerised systems & company software daily, producing information and reports as and when required
  • Attend and participate in Training courses as required and to undertake any training in the future as may be required to ensure the duties of the post are effectively conducted
  • Function as first point of contact for internal and external parties providing financial information on all project works
  • Ensure all documentation forms part of the onsite central filing system
  • Take any project meeting minutes where applicable

Contract Administrator

As Contract Administrator, you will be part of the Scheduling Team. You will work closely with Contract Managers & Supervisors to ensure all works (PPM, reactive & quoted) are processed and dealt with in a timely manner in accordance with the contractual requirements.

  • Process PPM, reactive & quoted works 
  • Liaise with Contract Managers & Supervisors to effectively investigate and resolve invoicing queries escalating issues where necessary to Management team
  • Generate invoices and issue to customers through agreed communications channels such as emails & customer CAFM systems, on a monthly basis
  • Continuously update appropriate accounting and customer CAFM systems with detailed and accurate information ensuring supporting information / evidence is in place

Apprentice Administrator

EQUANS is looking for an Apprentice Administrator to join our team based in Rotherham on an apprenticeship basis (2 years). This is a full time role working 37.5 hours per week. On offer is a salary of £14,000 per annum, dependant upon skills and experience as well as benefits package. 

 

The Apprentice Administrator will be based at Rotherham covering various PFI School Contracts. You will provide administrative cover to other parts of the FM Administration Team during staff absences.

What will you deliver? 

  • Monitoring of email inboxes daily
  • Every week, managing sickness and holiday requests, mileage, purchase card receipts
  • Responsible for maintaining accurate DBS records
  • Local HR file management including training records and plans
  • Creating of Work Order and Purchase Orders on Maximo

  • Minute taking as and when required
  • Run Business Reports when required

Periodically ‘cleanse’ maintenance-related Work Orders to ensure they have been coded correctly in terms of billable / non-billable work
  • Be the main point of liaison with the Regional Operations Centre (Helpdesk) to ensure that scheduled maintenance visits are booked in a timely fashion and that corresponding maintenance records are received and locally reviewed in a timely fashion
  • Support Technical Manager on non-compliance or unavailability of services, including impact on financial performance
  • Support team meetings and events as necessary
  • Be responsible for carrying health checks to ensure
  • Any other duties that may be required to facilitate the efficient operation of the Contract.

Workforce Planner

EQUANS is looking for a Workforce Planner to join our team based at the Royal Infirmary Edinburgh on a temporary (12 Months) basis. This is a full time role working 37.5 hours per week. On offer is a competitive salary and benefits package. 

 

The role of the Workforce Planer is to execute the delivery of logistics planning of our onsite technical workforce to ensure delivery of agreed services to our customer in line with Contract Service Level Agreements (SLAs). The workforce planner will be responsible for maximising productivity and managing all works to completion until the customer is satisfied. You must establish and maintain strong relationships with the operational technical teams and adopt and highlight a collaborative approach to resolving customer issues.

What will you deliver? 

  • Monitor trends via Power BI Dashboard in engineer performance (daily, weekly, monthly) reporting negative trends to the operational delivery team/Team Leader 
  • Maximise utilisation of direct labour, reporting absences and identifying potential shortfalls and mitigation
  • Analyse jobs for both reactive and PPM’s, allocate to the correct resource based on location, skill, priority, PPMS and customer requirements
  • Live monitoring for both reactive and PPM’s jobs and reporting any scheduling issues or call progression problems to the relevant person as appropriate
  • Identify, analyse, and improve upon existing processes to improve the way we work as a team
  • Prioritise numerous PPM’S. Continuously monitoring the progress of work whilst communicating any delays to the relevant people
  • Effectively manage a significant workload in a fast-paced environment
  • Effective tasking and direction of engineering workforce to complete Reactive, Quoted, Planned and Statutory Maintenance tasks within contract KPI’s and legislative requirements
  • Work in conjunction with the Operations/Delivery Managers to ensure seamless management and delivery of contract
  • Ensure any interactions with all customers reflects positively on the company
  • Support with the scheduling of subcontractor work as and when required
  • Ensure all engineer paperwork is quality checked prior to processing as required
  • Provide reporting/updates to operational teams or others as necessary to demonstrate the fulfilment of contract requirements
  • Work closely with site Business Support team to ensure clients are kept informed in advance of planned preventative maintenance or reactive visits as per contract agreements, including delays
  • Involvement in weekly/monthly labour planning meetings with Supervisors/Managers/Team Leader as required
  • Produce relevant information and updates required for inclusion in contract reports
  • Schedule and manage all reactive, PPM and statutory testing works within contractual SLAs/KPIs
  • Work with the service delivery team to review engineer availability
  • Any other administrative work as required.

  • Management of operational breaches and deductions via Maximo
  • Generate all required data to the Account Manager for the monthly client report
  • Support the wider contract with general administrative support as required

What will you deliver?

  • Allocate DLO expenses to correct DLO work orders
  • Use established systems to raise invoices for DLO jobs to make up the monthly recharge
  • Complete regular data quality checks on the Property Information software to ensure the data kept is accurate and up to date
  • Assist Service Desk Manager with monthly KPI reporting where required
  • Ensure all Data Protection, Equality, Confidentiality, and Health and Safety provisions are complied with
  • Undertake such other duties as may be reasonably expected at this level.
