You will support the Business Services team within the Professional Service in line with the organisation’s goals and values.

What will you deliver?

  • Process all Station Orders for client.
  • Verify, prepare and forward purchase orders/requisitions, verifying receipt of items and seeking authorisation for payment.
  • Goods receipt station orders.
  • Monthly accruals for Station Orders/PPE & VMI.
  • Produce daily Procurement Report.
  • Collate daily Low Value Procurement review list.
  • Respond to routine requests for information – assemble relevant data and compile as necessary.
  • Monitor and facilitate the Corrective Action Process.
  • Support colleagues with day-to-day activities to ensure that deadlines and standards are met, and commitments are honoured.
  • Prepare agendas for meetings, and attend meetings.
  • Prepare a variety of budgets and accounting reports.
  • Ensure compliance with company safety and quality culture.
  • Ensure client satisfaction is maintained or exceeded.
  • Ensure adherence to the company code of conduct and ethics ensure adherence to the company policies and procedures.
  • Perform such other duties as reasonably correspond to the general character of the post and are commensurate with its level of responsibility.

  • Previous administration experience, minimum 2 years.
  • Procurement experience would be an advantage. 
  • Good time management skills: able to take responsibility and to work independently and flexibly to prioritise workloads, work to deadlines and meet targets - whilst maintaining an assertive, confident, and diplomatic approach to staff/contractors.
  • Able to form and maintain good working relationships at all levels internally and externally.
  • Good knowledge of MS Office programs, including Word & Excel.
  • Confident communicator.

Legal Counsel

EQUANS is looking for a Legal counsel to join our team in bevis marks London on a permanent basis. This is a fulltime role working Monday to Friday. On offer is a competitive salary and benefits package.

Who are we looking for?

  • UK (or common law equivalent) qualified solicitor or barrister with ideally 3 to 6 years of post-qualification experience.  We will be flexible depending on the quality of experience.

Compliance & Planning Co-ordinator

EQUANS is looking for a Compliance & Planning Coordinator to join our team based at Pinderfields Hospital on a permanent basis. This is a full time role working 37.5 hours per week. On offer is a salary of £24,297 per annum and benefits package. 

 

Primary function of the role is to support in the scheduling of maintenance tasks delivered by both internal and subcontractor resources across a busy Healthcare facility. This programme of maintenance is primarily delivered and recorded through the sites ‘Computer Aided Facilities Management’ system (Currently Maximo 7.6). the position involves a variety of administration and coordination responsibilities including contractor management, compliance checking to meet the requirements of contractual parameters as well as the collation and submission of maintenance records for audit and assurance purposes. 

You will undertake regular checks with the ‘Jeopardy Management’ team to ensure those tasks nearing target rectification have a plan and are being managed accordingly to prevent them missing target completion times as far as practicable. Where required, ensure that local queries are resolved quickly and efficiently or, escalated to the appropriate service supervisors/managers as appropriate.

Compliance Co-ordinator

Key Activities:

  • To operate an effective and professional compliance / administration service ensuring that the appropriate record keeping processes are maintained to demonstrate compliance with contract deliverables and company procedures.
  • To monitor work in progress and manage the PPM planner and the scheduling of sub-contractors against the planner
  • To ensure that invoicing and purchasing is organised and kept up to date

HR Advisor

EQUANS are recruiting for a HR Advisor on a 12 month fixed term contract to support our Digital & Energy Services business which covers a wide array of sites and projects across the UK.

The role holder will be responsible for the provision of HR Advisor support for people matters , supporting line managers to deliver improvements in culture, change management, compliance and cost control to drive improved engagement and financial results.

What will you deliver?

 

  • Supporting line managers in all people processes to ensure best practice and employee engagement is enhanced.

Finance Assistant

EQUANS is looking for a Finance Assistant to join our team based at Regeneration House in Coleshill, Birmingham a permanent basis. This is a full time role working 37.5 hours per week. On offer is a competitive salary and benefits package. 

 

The role will be the lead support for raising orders, receipting orders, managing operational front end finance processes, managing WIP and effective and accurate invoicing as well as manging debt and cash collection forecast.

A Finance Assistant is responsible for all admin office and ad-hock duties that are carried out on a day to day basis. They are to support the management team and maintain a professional manner at all times for visitors, clients and the team.

What will you deliver? 

  • Raise purchase orders as required across the service streams in line with and understanding procurement policy.
  • Receipt all orders as appropriate in a timely and accurate manner to ensure cash flow reflects works completed.
  • Process any invoice queries through to a resolution.
  • Process Purchase cards receipts and coding to an online banking system.

Helpdesk Coordinator

EQUANS is looking for a Helpdesk Coordinator to join our team in Location on a temporary basis (12 month FTC). This is a full time role working 40 hours per week. On offer is a salary banding of £23,800 - £24,500 dependant upon skills and experience as well as benefits package.

The Regional Operations Centre (ROC) in Stoke provides helpdesk and business support services to a wide range of facilities management contracts. The Senior Service Co-ordinator will work with a team of Service Co-ordinators to ensure effective daily operations, adhering to performance standards for the contracts within the team, and monitoring resource and demand levels. You will have an in-depth knowledge of the contracts within your team and be able to react effectively to meet the needs of those contracts, You will liaise with contract teams on day to day matters, including the tracking of open work orders. 

You will be expected to deliver excellent customer service, handling enquiries via phone, email and self-service channels. You will respond to, plan and organise the full life cycle of all facilities management work from customer enquiry to job completion, utilising the CAFM system (Maximo). This will include planning and dispatching both Reactive and Planned Maintenance works to a number of engineers, sub-contractors and site managers across various locations, ensuring all are completed within contractually defined SLA’s and providing administrative support where appropriate.  You will work closely with the team, but be expected to demonstrate the ability to work on your own initiative.

What will you deliver? 

  • Provide first-line supervision to a team of Service Co-ordinators to ensure daily operations are effective and efficient. 
  • Liaise with Team Leaders to manage resources effectively to meet demand across all contracts within the team. 
  • Track daily performance against contractual SLAs.
  • Ensure contract guides and information are up to date, liaising with contract teams where necessary.
  • Carry out monitoring to ensure quality and adherence to performance standards under the guidance of the Team Leader.
  • Act as first point of contact for contract team escalations.
  • Provide a friendly and professional point of contact for customers for any queries or concerns.
  • Interpret and log work order requests, inputting details into an in-house system, providing and tracking regular updates to the status of the request through to work complete status in line with Service Level Agreements (SLAs). 
  • Liaise with wider team members to ensure the best resolution, consistent with the contract.
  • Completing all administration tasks that relate to the contact, including assigning contract colleagues and sub-contractors to work orders, purchasing and finance tasks.
  • Liaise with relevant Contract staff and subcontractors in relation to all aspects of service requests and that ensure required information is returned in a timely manner. Respond to queries, amend data and re-issue tasks as required.
  • Carry out monitoring of CAFM (Maximo) data to ensure that Helpdesk work orders have been accurately created, assigned, prioritised and categorised in line with contractual KPI's and SLA's.
  • Support the planned maintenance programme by scheduling activities for engineers, sub-contractors and site managers. 
  • Comply with company procedures to ensure that all risks relating to safety, health, environment and quality are effectively managed through the use of risk assessments, PPE, training and company procedures to ensure a safe working environment.

Lead Finance Business Partner

Equans is looking for a Lead Finance Business Partner to join our team in London on a permanent basis. This is a full-time role working 40 hours per week. On offer is a competitive salary banding of £60,000-£65,000, dependent upon skills and experience, car allowance and benefits package.

 

The Lead Finance Business Partner is responsible for leading a team of Finance Analysts/Management Accountants in addition to the management of the Finance Business Partner, and deliver a professional, timely and accurate financial reporting & forecasting, for a range of business units within Sustainable FM. This is a broad role, which encompasses financial management, contractual support, risk and team management.  This will also include, direct self delivery of the above for a range of business units.

The post holder will cover a portfolio of contracts in and around London. Will lead a small team of Qualified & part-qualified finance professionals including managers and review their work. Structure, motivate, coach and develop your team.

What will you deliver?

  • Take responsibility for the production and management of timely/accurate/compliant monthly financial results (P&L and balance sheet), for each of the service lines within your scope. Manage the forecasting exercises (budget and re-forecasts). Monitor, track and analyse the operational expenses in the month and recommend efficiencies where possible.
  • Take responsibility for the production of key financial indicators. Analyse and provide recommendations to site management, to optimise the Company’s position (i.e. supplier payments, debtor days, etc)
  • Presentation of meaningful trends and variance analysis to enable your customers to make informed decisions. Provision of internal and statutory audit justifications as required
  • Evaluate and challenge - using appropriate data and analytics - the budgeting and operations of each site and service line: resource levels, performance vs. output specifications and suitable benchmarks
  • Ensure that support to general managers is optimised to minimise performance penalties. Analyse root causes /recommendations
  • Liaise with relevant staff to improve paper flow and cash flow, making suggestions where appropriate
  • Being the first point of contact for the business when out of the ordinary requests / issues arise to ensure proper delivery to requests as well as ensuring appropriate level of understanding in the task is established.
  • Proactively analyse/audit contractual compliance and risks, so that to provide sound support to site management, and ensure that the business is gaining full entitlement of contractual arrangements. This can involve meeting with external clients, when required
  • Monitor the monthly service fee and variations and draft contractual claims for each service when commercial shortfalls are apparent
  • Provide support to your manager and business leaders when tendering for new opportunities (pricing, modelling, etc.)
  • Take an active part in the optimisation of our management systems and reporting suite – to provide meaningful financial information to our customers, in the most effective way. Lead transversal projects
  • Identify improvement areas and generate ideas from your team, and implement these ideas
  • To continuously identify, devise and delivery improvements on an incremental basis

Customer Service Representative

Equans is a renowned energies & services contractor and a proud member of the Bouygues global industrial group. Our expertise spans the design, construction, and maintenance of buildings and critical infrastructure worldwide.

We have an exciting opportunity for a Customer Service Representative to join our Helpdesk team at Southmead Hospital in Bristol.  This is a full-time permanent position working 40 hours per week, 5 days from 7.  Shift times are 7.5 hours per day between 07:00 and 19:00.  Please note this role involves working two weekends in every three.

The role:

  • To provide a professional FM Helpdesk service
  • To receive calls and enter the details onto the CAFM system to enable the works to be completed
  • Contact relevant subcontractor and co-ordinate site visits
  • To support the planned maintenance programme by generating jobs and updating the system when work is complete
  • Raise Purchase Orders, invoicing, and other ad-hoc administration support to the department
  • Working 40 hours per week, 7.5 hours per day between 07:00 and 19:00, 5 days from 7 with a 30 minute unpaid break


The person:

  • Must have experience of providing excellent customer service ideally in a helpdesk environment
  • Knowledge of a CAFM system desirable – Maximo
  • Excellent communication skills, both oral and written
