Document Controller
Equans Data Centers have an opportunity for an experienced Document Controller to join on our Document Control team to support our growing Data Center business.
Based in Stockley Park, West Drayton the Document Controller will be responsible for managing the control of all administrative and technical documents in accordance with Project Specific and Company Procedures. The Document Controller will ensure that all users have access to the latest revision of appropriate documentation in a timely manner.
What you will deliver?
- Assist in the implementation of the document control system and management during the projects life cycle.
- Manage SharePoint, including creating folders, issuing invitations, updating and maintaining.
- Issue 4project invitations to new users, including assigning them to the correct permissions: security groups, updating the folders structures, custom fields and the workflows if required.
- Ensure all technical documents and comments are recorded on 4Projects e.g. drawings, technical submittals and manufacturers literature.
- Monitor and control with guidance from the project lead/ design manager via the approval responsibility matrix the roles and responsibilities on 4projects to ensure security of confidential material is not breached.
- Create new project and set up workflows with subfolders and distribution groups. Ensure that workflow progression is monitored and all relevant documents are correctly allocated.
- Support the Design Manager(s) / MEP managers in their design approval process/commenting as per the Company Procedures, with regards to managing Technical Documents.

EQUANS is looking for a Site Administrator to join our team in Slough. This is a full time permanent position offering a competitive salary and benefits package.

Data Analyst

- Monitor and maintain the organisation hierarchy in Employee Services systems, ensuring line management and costing structures are aligned with current business structure.
- Work with Employee Services Team Leads to ensure appropriate audit controls are in place, meeting EQUANS standards.
- Coordinate the contractor process to ensure key data is captured in SAP.
- Co-ordinate the Cost Distribution Process, working closely with the SSC Finance Team and Finance Business Partners to ensure that all costs are updated in SAP in time for the Payroll run.
- Co-ordinate, build, test and communicate UKBU HR Operations reporting from SAP using Query Manager or SAP Ad-Hoc reporter; demonstrating subject matter expertise in such systems to train others in their use, schedule patch uploads and co-ordinate any post patch regression testing.
- Co-ordinate the authorisations process within Employee Services systems, ensuring employees have the appropriate and relevant access rights within the boundaries of Data Protection.
- Work with the Business Change team to ensure contract mobilisations and demobilisations are updated in Employee Services systems in a timely manner.
- Co-ordinate the month end Payroll Controls process to ensure timely payments are made to third parties and liaise with third parties in relation to the breakdown of such payments.
- Provide support to the Team on Winshuttle activities such as building scripts and loading/verifying data.
- Lead the Annual Leave & Annual Salary Review upload processes, ensuring timely accurate delivery.
- Appreciation of National Minimum Wage legislation and the impact on employees pay during the processing of National Minimum Wage uplifts.
- Ability to calculate salary and allowance payments when processing Annual Salary Reviews and Gender Pay Gap reporting.
- Co-ordinate audit activity for own work area, with timely monthly sign off.
- Co-ordinate annual and monthly MI to ensure the business can make informed decisions. Identify and actively research options for digitalisation and improvements to current processes in line with EQUANS strategy.

Administrator (Performance Improvement)
EQUANS is looking for an Administrator to join our team based at Torness Nuclear Power Station on a permanent basis. This is a full time role working 37 hours per week. On offer is a competitive salary and benefits package.
You will support the delivery of a professional and efficient administrative support in line with the organisation’s goals and values.
What will you deliver?

- Be the point of contact for scheduling, enrolment and compliance queries.
- Input and maintain course catalogue on our in- house database, including but not limited to enrolling on courses, cancellation of course and issuing of attendance invites.
- Update and maintain in-house database with changes to qualifications and no-shows.
- Hold and monitor the budget for training.
- Run and produce various reports including compliance reports and registers.

We have an exciting opportunity for a Facilities Administrator to join our facilities team working on our Greater Manchester Police maintenance contract based at Eccles police station providing administrative support to various police stations across Greater Manchester. This is a permanent full-time position working 40 hours per week, Monday to Friday from 8am to 5pm.
The role:
- Reporting to the Business Performance Manager
- To provide effective and efficient administrative compliance support for the contract
- Identify client requirements through telephone, CAFM Helpdesk system, and e-mail communications.
- Raise and manage to completion PPM and reactive work orders in the CAFM System to deliver KPIs.
- Produce quotations, chase approvals and arrange for work to be carried out via raising purchase orders to subcontractors and arranging for access to the Site.
- To prepare reports and documents as required and maintain confidentiality at all times
- To work along site the management team to provide support as required on the contract
The person:
- Experience in a similar role providing effective administration support
- Knowledge of Maximo database or similar CAFM system an advantage
- Excellent communication skills, both oral and written
- Able to work as both part of a team and autonomously
- Must have good IT skills (able to use Microsoft Office and management systems)

Junior Digital Learning Developer
Equans is looking for a Junior Digital Learning Developer to join the team on a permanent basis. This is a full-time role working 37.5 hours per week. On offer is a competitive salary and benefits package.
This is a remote role with occasional national travel
Our junior digital learning designer will be an essential part of a small digital design team. Working alongside our digital designer and overseen by the digital learning solutions manager, you will be responsible for bringing our learning designs to life.
From scripts, wireframes and other sources, you will construct learning interventions in a range of different programmes, including Articulate 360, Word, Powerpoint, Premiere Pro, Canva and other systems.
As a digital solutions team, we develop learning solutions across a range of different media, which are designed to suit our clients needs. We try to address these client needs by assessing the range of digital solutions available to both them and their budget. So one day, you might be producing PDFs and documents to support a personalised learning environment and another day you could be building an interactive SCORM course in Articulate. We love to experiment with our offering and try new things, so the range of development is quite broad.
You will need a knowledge of an interactive learning tool – our preference is Articulate. You’ll also need experience of translating designs accurately and within a set time-frame.
This role is also developmental – so through your work you’ll have the opportunity to work across the e-Learning design process. This would be a fantastic opportunity for a junior builder, who is just starting out in their role and is hoping to develop a wide portfolio of work.
What will you deliver?
- Responsible for translating wireframes, provided by the Digital Learning Solutions Manager and Digital designer, into fully interactive e-Learning courses
- Responsible for developing additional resources to support the e-Learning. These include, but are not limited to, ‘how-to guides, posters, quick-reference material, aide-memoire, cheat-sheets etc’. Also, within the supporting resources, there may be a need to produce audio, video and animation resources
- Responsible for managing development of offline content for our essential e-Learning, which are non-functional versions of courses, developed in PowerPoint
- Support our existing catalogue of e-Learning, making changes to existing courses when required
- Respond to issues raised regarding the e-Learning, where a user has experienced an issue in functionality. Investigate the issue promptly, amend if required and ensure the integrity of the e-Learning offered
- Work with the LMS Manager to ensure that once signed off, e-Learning courses are uploaded correctly to the Learning Management System
- Where courses are amended, the junior developer will also ensure that reversioner courses are uploaded without impacting the users that have already completed the learning
- Be the first point of contact for the academy team, for issues relating to e-Learning functionality or access. Monitor the shared inbox and provide resolutions for users in a timely and effective manner. Where issues are complex they will liaise with the LMS Manager and Digital Learning Solutions Manager to escalate as required
- Support the Digital Learning Solutions Manager and Digital Designer in their design work, by attending product scoping meetings, the expectation is that the Junior Developer will take notes on the session, allowing the designers to run scoping workshops eventually

Scheduler
Equans is looking for a Scheduler to join our team at the Queen Alexandra Hospital in Portsmouth on a permanent basis. This is a full-time role working 37.5 hours per week. On offer is a competitive salary and benefits package.

1 week - Middle 0800-1600

What will you deliver?
- Build and maintain an effective and supportive working relationship with members of the team and colleagues both within Equans and Portsmouth Hospitals University NHS Trust and The Hospital Company (THC)
- Understand and apply all contractual requirements to maintenance tasks
- Own, maintain and update the site CAFM system in relation to all planned and reactive tasks under their control and management

- Maintain accurate records, data, and reports in line with policy and compliance requirements, ensuring all confidential material is adequately secured
- Ensure that all tasks are scheduled using appropriate labour planning guidelines (PGL) allocated
- Ensure that the annual maintenance plan is scheduled correctly utilising labour and resources appropriately
- Assist the Control Room Manager in maintaining and managing absence in accordance with policy
- Work with other members of the Estates team and suppliers, to ensure continued and timely availability of spare parts/services for PPM work
