With a rich history of excellence in designing, constructing, and maintaining buildings and critical infrastructure worldwide, we are now offering exciting new opportunity for an Administration Assistant on a 6 month fixed term contract within our Embedded Generation business.
Equans Embedded Generation operates multiple customer sites with large-scale embedded energy capacity across the UK, providing specialist management of onsite generation for industrial processes and the ability to export to the Grid. We combine multiple technologies to meet our customers’ specific needs, and provide design, build, operate and maintenance services. Our skills and expertise can help industrial businesses to achieve their carbon reduction goals.
We are experts in many technologies, including combined heat and power (CHP), biomass, and energy from waste. By locating generation on customers’ sites we provide our customers with industry leading safety management, reduced energy costs and carbon footprint and assured energy security for their operational needs.
Key activities
The Administration Assistant will support all teams on site in order to ensure site is able to operate to its full potential. This support will include procurement, reporting, processing of timesheets/overtime & general office duties.
- First point of contact on site for procurement queries. Deal with invoicing, Purchase Orders (POs) and payment queries. Raise POs and One Time Vendors on Coupa to suit site needs.
- Support Operations manager with reporting requirements. Responsible for monthly waste management recording. Gather data from various site specific systems such as EDS & CMMS (Computerised Maintenance Management System) to feed into operational reports.
- Support Operations manager with document control. Filing of delivery notes, assisting with compilation and review of site Risk Assessments and operating procedures.
- Manage the issue and ordering of PPE.
- Support site team with travel arrangement, processing of timesheets and overtime.
- Support Operations manager with management of training and training matrix.
- Liaise with the client, contractors and suppliers when on site.
Skills, qualifications & experience
- High level of communication skills, both verbal and written.
- Highly organised and able to prioritise workload.
- Computer literate (Office 365).
- Attention to detail.
- Professional and welcoming manner.
- Able to work autonomously and is self-motivated but also able to function in a team environment.
- Adaptable and willing to learn new systems.
- GCSE grade C or equivalent in English essential
