We currently have an exciting opportunity for an experienced Facilities Support Co-ordinator (FM Helpdesk) to join our Facilities team covering three secondary schools in Peterborough (main base Queen Katharine Academy). This is a full-time permanent position working 40 hrs p/week from 8am to 5pm, Monday to Friday.
The role:
- Reporting to the Facilities Service Manager
- Support the contract team by undertaking a professional, efficient and comprehensive facilities administration and operations support role to ensure contract compliance and customer satisfaction.
- Support the full Helpdesk service to the contract provided by the NOC. Oversee management of all communications to ensure all requests/issues are accurately captured and recorded on Maximo by the remote team.
- To support all Planned and Reactive works ensuring work is correctly scheduled to the Operations Team via hand-held devices and assisting with updating Maximo where required.
- To manage all invoice requirements, checking validity against advice/delivery notes and Purchase Orders.
- To overview Annual PO records to support budget planning and ensure repeat instructions where required.
- To assist in the preparation of correspondence, reports, tenders, presentations and other documents as required, maintaining confidentially at all times.
- Working 40 hours per week, Monday to Friday from 08.00 to 17.00
The person:
- Previous administration experience and good IT skills (able to use emails, management systems, databases, Maximo/CAFM, etc.) essential, previous experience on an FM helpdesk beneficial
- Excellent communication skills, both oral and written
- Able to work as part of a team and autonomously
- Well organised and able to prioritise a busy workload
- Able to multi-task in a busy work environment
- Valid driving licence – must be flexible to travel between sites
