EQUANS is looking for a Contract Administrator to join our team based on-site in Reading, RG2 on a permanent basis. This is a full time role working 40 hours per week. On offer is a competitive salary and benefits package. 

 

As Contract Administrator, you will be part of the Administrative Team. You will work closely with the Contract Manager & Supervisors to ensure all works are processed and dealt with in a timely manner in accordance with the contractual requirements.

What will you deliver? 

  • Process PPM, reactive & quoted works (WIP) for invoicing in a timely manner
  • Entry & verification of engineer’s timesheets & job reports assisted by the Contract Manager and liaison with the Quotes & Compliance admins to ensure all paperwork is provided to customers
  • Processing of and coding of Purchasecard transactions using an online banking system
  • Calculation and verification of overtime hours ready for monthly submission to Payroll
  • Liaising with the Contract Manager & Supervisors to effectively investigate and resolve invoicing queries escalating issues where necessary to Management team
  • Generate invoices and journals and issue chargeable costs to customers through agreed communications channels such as journals or submission via SSC on a monthly basis
  • Continuously update appropriate accounting and customer CAFM systems with detailed and accurate information ensuring supporting information / evidence is in place
  • Chase appropriate parties for missing supporting information (engineers reports, lab reports & invoices) if not in place and distribute or file accordingly
  • Process any contractual requests ensuring the system is up to date including renewals, terminations & variations ensuring the correct forms are submitted to support changes
  • Assist in the maintenance of the stock control system ensuring all stock levels are above order points and escalate when necessary
  • Carry out general administrative duties in line with the departmental policies & procedures as required including cross training on the other administrative roles to provide absence cover
  • Undertake any ‘ad hoc’ duties as requested by the Management team which are commensurate with the role.

Who are we looking for? 

 

  • Previous experience within Administration
  • Prior experience of CAFM systems, SAP, Coupa & Planon advantageous
  • Excellent Knowledge of Microsoft applications including MSExcel essential
  • Health & safety awareness
  • An understanding of Purchase to Pay process desirable.
