Equans is looking for a Contract Administrator (Quotes and Compliance) to join our team in Reading, RG2 0TF on a permanent basis. This is a full time role working 40 hours per week. On offer is a competitive salary, alongside a company benefits package.

Overview

As Contract Administrator, you will be part of the Scheduling Team with specific responsibility to the Mobile Services contract. You will work closely with Contract Managers & Supervisors to ensure all works (PPM, reactive & quoted) are scheduled and dealt with in a timely manner in accordance with the contractual requirements, in order to meet KPI’s.

Key deliverables:

  • Generate quoted works within SAP and Plan-on in a timely manner, updating Quotation Management System and CAFM systems.
  • Generate purchase orders for quoted works, PPM materials, tooling and calibrations against engineer cost centres using purchasing system Coupa.
  • Liaise with Contract Managers, Supervisors and Planning Team to schedule/assist arranging Equans labour and Subcontractor attendance.
  • Invoice and credit approvals – Quality checking invoice/credit for correct and matching information, dispute discrepancies with subcontractor or suppliers. Chase appropriate party for supporting information if not in place.
  • Liaise with Contract Managers and Supervisors to effectively deal with subcontractor/supplier invoicing queries escalating issues where necessary to Management team.
  • Uploading of statutory documentation to tracker, client portals Equans customer portals and Elogbooks, including but not limited to Combustion, Refrigeration and NICEIC Certification.
  • Arranging and ordering Supervisor and Engineer workwear through the Swift Industrial portal, logging items and distribution once items have been quality checked.
  • Carry out general administrative duties in line with the departmental policies & procedures.
  • Undertake any ‘ad hoc’ duties as requested by Mobile Management team.

Required experience and knowledge:

  • Prior experience of CAFM systems (SAP, Basware, Coupa, Maximo & Planon) advantageous but not essential.
  • Computer literate with a good working knowledge of Microsoft applications including Excel and Outlook.
  • Demonstrate good team working ability with excellent communication skill.
  • Ability to work in a focused manner with the ability to prioritise workload and requests.
  • Keen awareness of customer focus and brand image.
