Equans is looking for a HR Benefits Administrator to join our team in Newcastle upon Tyne on a permanent basis. This is a full time role working 37.5 hours per week. On offer is a competitive salary of £21,500 – £25,000 dependant on skills and experience and benefits package.
Overview:
As HR Benefits Advisor, you will be responsible for all HR benefits activities for Equans UK. You will provide an exceptional, quality service to support both new starters, and existing employees of Equans UK. This is a varied role, where you will work with multiple stakeholders, and deal with various benefits across the company including, but not limited to: Insurances, Optional benefits, Cycle to work scheme, Holiday trading scheme and more.

As a member of our Shared Services team, you will have the ability to work flexibly from our brand-new office space at the Quorum Business Park for 2 days each week, with 3 days at home. Key Deliverables:
- Ensure accurate and timely processing of benefits activities including: new joiners and leavers benefits administration; insurances (Life/Private Medical/Dental/Critical Illness); income protections; holiday trading; cycle to work; childcare vouchers; optional benefits (e.g. Gympass, Green Car options, salary finance); long service awards.
- Support the administrative activity of the Annual Benefits Window, ensuring payments and deductions are calculated and recorded to the payroll system.
- Monitor salary sacrifice deductions against employees salaries in line with legislation.
- Support the P11D process, working with stakeholders across the business.
- Calculate benefit payments and deductions and record in the payroll system.
- Apply National Minimum Wage legislation when processing benefit allowance requests.
- Validate payroll calculations to ensure benefit changes are inline with policy and legislation.
- Work with 3rd party Benefit providers to ensure new starters or changes are registered in their portals or systems.
- Analyse reports to identify current benefits take up to support decision making by Reward Team.
- Co-ordinate audit activity for own work area, with timely monthly sign off.
- Support the Team Leader in data collection and analysis across the team, e.g. numbers of employees with an entitlement to benefits to support.
- Provide personal data in line with Equans standards and GDPR guidelines to HR and Data Privacy teams.
- Deal with queries from employees, managers and HR on all HR Administrative processes and procedures.
- Manage own workload in line with service level targets.
- Support the maintenance of process documentation.
- Support the delivery of administrative duties as and when required for the Employee Services function.
- Identify and support process improvements to deliver best practice in HR Administration.
- Deliver excellent customer service and provide a welcoming, efficient, helpful and informative service to all.
- Take a role in the development and delivery of roadshows and customer meetings to promote the service and knowledge share.

Required knowledge/experience:
- Working knowledge of Microsoft packages.
- Strong knowledge of current GDPR guidelines.
- Demonstrable experience in a Customer Service environment.
- Attention to detail.
- Ability to prioritise and work with colleagues to strict deadlines.
- Understanding of HR Administration regulations and procedures would be desirable.
- Demonstrable, strong administrative experience
- Understanding of Benefits and/or Reward procedures within an HR environment would also be desirable.
This role includes a Basic DBS check therefore ability to pass is essential.
