Contract Administrator – Sub Con

Equans is looking for a Contract Administrator (Sub Contractor) to join our team in Reading, RG2 0TF on a permanent basis. This is a full time role working 40 hours per week. On offer is a competitive salary, alongside a company benefits package.

Overview

As Contract Administrator, you will be part of the Scheduling Team with specific responsibility to the Mobile Services contract. You will work closely with Contract Managers & Supervisors to ensure all works (PPM, reactive & quoted) are scheduled and dealt with in a timely manner in accordance with the contractual requirements, in order to meet KPI’s.

Key deliverables:

• Ensure all PPMs have been scheduled with customers and sites to ensure a minimum of 95% completion every month.
• Ensure up to date Risk assessments and public liability insurance have been received.Obtain costs from sub-contractors ensure purchase orders have been raised to cover costs.
• Upload all statutory and other client required documentation to customer portals.
• Ensure CAFM (Planon) is up to date at all times, extracting key MI when requested.
• Chase appropriate party for supporting information (subcontractor & engineers reports, subcontractor & supplier invoices) if not in place & file accordingly.
• First point of contact for sun contractors regarding scheduling queries.
• Provide a routine clerical and administrative support to the engineering team using Equans systems.
• Provide a friendly and efficient front-line service, both in person and on the telephone, handling direct enquiries from the client, Line Management and sub-contractors.
• Ability to use IT packages to an intermediary level, including Microsoft Office systems to record and maintain department records.

Required experience and knowledge:

• Prior experience of CAFM systems (SAP, Basware, Coupa, Maximo & Planon) essential.
• Computer literate with a good working knowledge of Microsoft applications including Excel and Outlook.
• Demonstrate good team working ability with excellent communication skill.
• Ability to work in a focused manner with the ability to prioritise workload and requests.
• Keen awareness of customer focus and brand image.
• Experience of purchasing and managing supplier delivery.
